Position Summary
This is Mid/Senior level support role for someone with strong service instincts and office/tech skills who wants to develop into a central member of our small team. This individual should be an independent self-starter. You will provide client-facing support, administrative partnership to our advisors, and help maintain our operational systems. Standard hours are Monday - Friday 9:00am - 3:30pm. *This is not a remote position. 

 

Key Responsibilities

  • Serve as a primary client contact by phone, email, and in person; deliver timely, professional responses
  • Prepare for client meetings (materials, account summaries, agendas) and manage post-meeting follow-up
  • Open and maintain client accounts, process paperwork (DocuSign), and ensure documentation accuracy
  • Manage cloud systems and databases (Office 365, Salesforce, Orion, E-Money, Y-Charts)
  • Perform administrative tasks to support daily advisor workflows (Ex: scheduling appointments, inbound phone calls, etc.)
  • Assist with ad-hoc projects to improve processes and client experience
  • Other duties and projects as assigned

 

Qualifications

  • 3+ years customer service or administrative experience; financial services experience preferred
  • Proficient with Microsoft Word, Excel, Outlook; experience with DocuSign and CRM (Salesforce preferred) a plus
  • Comfortable with cloud-based tools and very basic IT troubleshooting
  • Highly organized, detail-oriented, able to manage multiple priorities with follow-through
  • Excellent verbal and written communication and a client-first mindset
  • Collaborative team player who thrives in a small-firm environment
  • Must pass FBI fingerprint/background check per FINRA requirements
  • Willingness to obtain Series 66 or Series 63 / Series 65 and Life & Health Insurance
