Office Administrator – Support Operations for a Growing Construction and Metal Fabrication Company


Job Overview

  • Company: Summit Group LLC
  • Salary/Pay Rate: $22 to $28 per hour plus performance-based bonus opportunities and profit sharing.
  • Location: Elk Grove Village, IL
  • Position Type: Full Time
  • Schedule: 32-40 hours per week, Monday through Friday.
  • Project Scope: Construction and metal fabrication (commercial and industrial projects). 


The Opportunity

You will play a key role in supporting the day-to-day operations of a growing construction and metal fabrication company. This position is responsible for managing a variety of administrative, bookkeeping, payroll, and compliance-related tasks that are critical to keeping the business running efficiently.

The successful candidate will work directly with company ownership and leadership on a daily basis, serving as a trusted administrative resource while helping ensure financial records, employee certifications, payroll information, vendor accounts, and office operations remain organized and up to date.

How You Will Make an Impact

  • Manage full-cycle accounts payable by verifying vendor invoices, tracking approvals, and processing timely payments.
  • Maintain precise bookkeeping records, including reconciling bank statements, recording receipts, and updating the general ledger.
  • Support weekly payroll processing by reviewing field timesheets, verifying hours, and coordinating with our payroll provider.
  • Track and maintain critical employee certifications, safety compliance items, and subcontractor certificates of insurance.
  • Coordinate the procurement of office and field supplies to ensure team members have the necessary project materials.
  • Maintain organized administrative systems and records to support efficient business operations. 


Required Qualifications & Experience

  • Minimum of 2 years of administrative, bookkeeping, office management, or related experience.
  • Proficiency with Microsoft Outlook, Excel, and Word.  
  • Working knowledge of bookkeeping functions, including accounts payable, payroll support, invoice processing, and recordkeeping.
  • Experience using QuickBooks Desktop in a professional business environment.  
  • Experience managing multiple responsibilities simultaneously while maintaining accuracy and attention to detail. 
  • Strong written and verbal communication skills necessary for professional vendor and team interaction.
  • Proven ability to work independently, manage evolving priorities, and follow through on tasks with minimal oversight.
  • Demonstrated a high level of integrity and confidentiality when handling sensitive financial and employee data.
  • High school diploma or equivalent qualification.


Preferred Qualifications & Experience

  • Associate degree in business, accounting, or a dedicated bookkeeping certification.
  • Experience maintaining employee records, certifications, licenses, or compliance documentation.
  • Experience managing contractor compliance requirements through Avetta or similar vendor management and prequalification platforms. 
  • Previous administrative, bookkeeping, or office management experience in the construction, contracting, manufacturing, or skilled trades industries.
