Examinetics is looking for a detail-oriented and professional individual to join our team as a Clinical Logistics Coordinator! This position is a full-time role at our corporate office in Griffith, IN. The Clinical Logistics Coordinator will be responsible for the end-to-end preparation, assembly, and shipment of lab kits to occupational health clinics.

Primary Responsibilities:

  • Assemble and prepare lab kits for shipment to occupational health clinics, ensuring all required lab supplies are included and packaged correctly per client and test type requirements.
  • Complete testing requisitions accurately for each lab kit, verifying client, employee, and test type information prior to shipment.
  • Maintain chain of custody documentation by recording required information in the order management system and associated tracking files in accordance with regulatory requirements.
  • Process FedEx, USPS, or UPS shipments for all lab kits, ensuring accurate addressing, labeling, and timely pickup or drop-off.
  • Compile and distribute the daily orders to clinical services administrators and coordinators to support workload planning and task assignment.
  • Perform data cleanup of received test results, identifying and resolving discrepancies or incomplete records in the order management system.
  • Monitor and manage office supply inventory, placing orders as needed to ensure uninterrupted lab kit fulfillment operations.
  • Answer inbound phone calls and respond to inquiries from clinics, clients, and internal team members in a professional and timely manner, escalating issues as appropriate.
  • Communicate proactively with internal teams regarding order status, shipping delays, or fulfillment issues to ensure continuity of service.
  • Ensure the confidential and accurate handling of Protected Health Information (PHI) and chain of custody materials in compliance with applicable regulations.
  • Enter order, shipment, and chain of custody data into internal systems accurately and efficiently, maintaining up-to-date records.
  • Support process improvement efforts related to lab kit fulfillment, shipping workflows, and order management as directed.
  • Perform additional operational and administrative tasks as assigned to support the Clinical Services team.


Job Qualifications:

Education and/or Experience

  • 1+ year(s) of experience in order fulfillment, shipping/logistics, administrative operations, or a related role.
  • Experience with shipping platforms (UPS, FedEx, or similar) required.
  • Proficiency in Microsoft Office Suite. (Word, Excel, Outlook)
  • Familiarity with order management or laboratory information systems preferred.
  • Experience entering data accurately.
  • Experience working independently and as part of a team.
  • Experience prioritizing and multitasking effectively.

Skills & Abilities

  • Strong organizational skills with high attention to detail; ability to manage multiple orders simultaneously without errors.
  • Professional verbal and written communication skills; comfortable answering phones and corresponding with clinics, clients, and internal staff.
  • Effective time management skills.
  • Ability to handle sensitive and confidential information, including PHI and chain of custody materials, with discretion and in compliance with applicable regulations.
