Congregation Administrator (Part-Time, Hybrid)
Organization: Congregation Kneseth Israel (CKI)
Location: Elgin, IL (Hybrid – minimum 3 days/week in-office)
Position Type: Part-Time (25 hours/week)
Compensation: $31,200/year ($24/hour equivalent)
Position Overview
The Congregation Administrator serves as the operational backbone of our community. This multifaceted role requires an individual who balances strong financial acumen and database management with excellent interpersonal skills. You will represent the congregation in financial and professional matters, support management of our facilities, facilitate employee payroll, and drive our communication channels.
Primary Responsibilities
Financial Stewardship & Operations
- Financial & Legal Representation: Act as an authorized representative of the congregation in financial and professional matters, including executing contracts and managing vendor relationships.
- Payroll & Vendor Management: Process employee payroll accurately and manage timely payments to vendors, utilities, and service providers.
- Grant Management: Actively research and manage grant opportunities to support the congregation's programming, security, and infrastructure needs.
- Kitchen & Facilities Management: Support the operations of the buildings kosher kitchen, ensuring compliance with building usage guidelines, managing inventory, and coordinating setup needs for events.
Administration & Data Management
- Database Oversight: Maintain and update the member database with high confidentiality, ensuring accurate records of membership status, contributions, and contact information.
- Bookkeeping & Office Suite Operations: Utilize financial software and office tools to track expenses, generate reports, and manage organizational documentation.
Communications & Engagement
- Member & Public Relations: Manage the congregation’s website, email newsletters, and social media platforms to keep members engaged and informed.
- Inbound Correspondence: Serve as a primary professional point of contact for members, prospective members, and community partners.
Qualifications & Experience
- Technical Proficiency: Proven hands-on experience with QuickBooks Online, Microsoft Office Suite (Word, Excel, Outlook), and email marketing tools
- Core Competencies: Strong organizational skills, a natural aptitude for building positive interpersonal relationships, and an absolute commitment to maintaining strict confidentiality.
- Writing & Analytical Skills: Experience in grant writing and grant compliance/reporting is highly preferred.
- Schedule Flexibility: Ability to work 25 hours per week on a hybrid schedule, with a requirement of at least three days per week on-site.
