Full Job Description
Pearle Vision in Collegeville is seeking a dependable, organized and patient-focused Doctor Assistant & Patient Care Coordinator to join our team.
This is an important, hands-on role within our practice. You will work closely with our optometrists, assist with patient testing and clinical flow, coordinate patient follow-up and help ensure every patient receives an organized, professional and welcoming experience.
The ideal candidate is proactive, detail-oriented, comfortable working in a busy environment, and takes genuine ownership of their responsibilities. We are looking for someone who does not simply wait to be told what to do, but notices what needs attention, follows through, communicates clearly and helps keep the practice running smoothly.
Previous experience in an optometry, ophthalmology, optical, or medical office environment is strongly preferred.
This is a full-time, in-person position. Ability and willingness to work Saturdays as part of the regular schedule is required.
Key Responsibilities
- Perform accurate and complete patient pre-testing prior to the doctor examination
- Assist doctors with efficient patient flow throughout the clinical area
- Accurately document testing, patient information, and required clinical information
- Prepare exam rooms and testing areas for daily patient care
- Assist with contact lens patients, training, coordination, and follow-up
- Coordinate patient appointments and follow-up care
- Make proactive outbound calls to patients who are due or overdue for eye examinations
- Assist with patient recall and reactivation efforts
- Help maintain a full and productive appointment schedule
- Identify openings and cancellations in the appointment book and proactively work to fill them
- Confirm appointments and follow up with patients as needed
- Help reduce unfilled appointment openings and missed opportunities
- Complete required medical referral communications and related documentation
- Ensure required PCP communications for diabetic patients are completed and sent the same day as the patient’s appointment
- Assist with medical billing workflows and documentation as needed
- Maintain accurate daily logs, follow-up lists, and task completion records
- Communicate clearly with doctors, management, team members, patients, and outside medical offices
- Identify unresolved patient-care issues and ensure appropriate follow-through
- Support an efficient, professional, and positive patient experience
- Follow all established practice procedures, workflows, privacy requirements, and compliance standards
- Communicate promptly with management when an issue may prevent a responsibility from being completed correctly or on time
- Assist with other patient-care and practice responsibilities as needed

Qualifications
- High school diploma or equivalent required
- Previous optometry, ophthalmology, optical, or medical office experience strongly preferred
- Previous optical or optometric pre-testing experience preferred
- Experience working directly with patients preferred
- Strong computer and documentation skills
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- High attention to detail
- Ability to manage multiple priorities in a busy practice environment
- Comfortable making outbound patient calls
- Comfortable being accountable for assigned responsibilities and measurable expectations
- Ability to work independently while also contributing positively to a team
- Dependable attendance and punctuality required
- Ability and willingness to work Saturdays as part of the regular schedule is required
Compensation
$55,000–$60,000 per year, depending on relevant experience, demonstrated skills, and qualifications.
