Job Title: Inventory Specialist
Department: Operations / Warehouse
Reports To: Operations Manager
Position Summary
The Inventory Specialist is responsible for overseeing all inventory operations for a plumbing service operation. This role ensures accurate tracking, purchasing, receiving, and distribution of materials, tools, and equipment using Service Titan and Sage systems. The Inventory Specialist will maintain optimal stock levels, minimize shrinkage, and support field technicians with timely and accurate inventory fulfillment.
Key Responsibilities
Inventory Management
- Maintain accurate inventory levels across warehouse and service vehicles
- Monitor stock usage trends and place orders accordingly
- Perform regular cycle counts and full physical inventory audits
- Investigate and resolve inventory discrepancies
- Maintain proper min/max levels and reorder points
Systems Management (Service Titan & Sage)
- Ensure accurate item setup, pricing, and cost tracking in Service Titan
- Maintain synchronization between Service Titan and Sage
- Process purchase orders, receipts, and vendor invoices in Sage
- Generate and analyze inventory and usage reports
- Ensure proper job costing and material allocation
- Transactions for purchase orders, receipts
Purchasing & Vendor Management
- Source and negotiate with suppliers for best pricing and availability
- Create and manage purchase orders
- Track shipments and resolve vendor discrepancies
- Maintain strong vendor relationships
Warehouse Operations & Team Leadership
- Establish and enforce warehouse procedures and safety standards
- Ensure proper organization, labeling, and storage of materials
- Coordinate daily material staging for service calls and installations
- Improve workflow efficiency and warehouse layout
Field Support
- Coordinate with service managers and technicians to ensure truck stock accuracy
- Implement and manage truck restocking procedures
- Support emergency material requests
Qualifications
- 3+ years of inventory or warehouse management experience (plumbing/HVAC industry preferred)
- Experience with Service Titan and/or Sage preferred
- Strong understanding of job costing and inventory accounting principles
- Proficiency in Excel and inventory reporting
- Strong organizational and problem-solving skills
- Ability to lift up to 50 lbs. and work in a warehouse environment
