The Operations Support Specialist is responsible for overseeing the Central Policy Production Department, ensuring smooth daily operations, maintaining quality control, and training direct reports. Coordinates efforts of the offshore production teams. This role requires independent judgment, attention to detail, strong communication, and problem-solving skills. Additionally, the position plays a key role in supporting process improvements, system workflows, and corporate training initiatives.


This position reports to The Chief Operations Officer.


Supervisory Responsibilities:

  • Recruits, interviews, hires, and trains.
  • Oversees the daily workflow and production operations of the department.
  • Deliver constructive and timely performance feedback in accordance with the company Performance Management Process.
  • Provides constructive and timely performance feedback as part of the company’s Performance Management Process.
  • Assists with employee performance improvement, skill development, and disciplinary action in accordance with company policies.

  • Essential Job Duties/Responsibilities:

  • Manage the monthly remittance process for all underwriters.
  • Build, maintain, and train system workflows to optimize department efficiency.
  • Facilitate and assist with Escrow & Title training, including core and advanced skill development, occurring at least four times per year or as needed.
  • Collaborate with the Chief Operations Officer on special projects, including acquisitions, standard operating procedures (SOP) creation, and software evaluations.
  • Coordinate with offshore production teams to ensure accuracy, efficiency, and adherence to company standards.
  • Maintain effective and professional communication with employees and clients via phone, email, and in person.
  • Support corporate core values, purpose, and culture by fostering a positive and productive work environment.
  • React positively to changes in job responsibilities, workflow expansions, and company initiatives.
  • Adhere to all company policies and standards, including maintaining prompt, predictable, and regular attendance. 
  • May require travel using a company or personal vehicle for business purposes.
  • Perform other job-related duties as assigned.

  • Required Skills/Abilities: 

  • Strong verbal and written communication skills.
  • Excellent time management with the ability to meet deadlines.
  • Strong analytical and problem-solving capabilities.
  • Ability to prioritize and delegate tasks efficiently.
  • Comfortable working in a high-paced environment.
  • Proficiency in Google Suite and/or Microsoft Office Suite.
  • Advanced computer skills with the ability to quickly learn and adapt to new software.
  • Education and Experience:

  • Must be at least 18 years old.
  • Must have a valid driver’s license and the ability to pass an MVR and background check.
  • High school diploma or equivalent required; Bachelor’s degree preferred.
  • 3 to 5 years of related experience in operations, administrative support or a similar role.
  • Physical Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift 15 lbs. on occasion.
