As a Marketing & Executive Operations Coordinator, you'll blend your marketing expertise with high-level administrative support to help drive company initiatives and elevate brand presence. You’ll work closely with leadership and external partners to manage marketing campaigns, organize events, and ensure smooth communication across teams.
What You'll Do
As a Marketing & Executive Operations Coordinator, you will be responsible for:
- Coordinating and executing marketing initiatives across print and digital channels.
- Serving as the primary liaison with external marketing, creative, and digital agencies to ensure timely project delivery and quality.
- Creating, editing, and managing marketing collateral, including brochures, flyers, presentations, email campaigns, and digital content.
- Managing and maintaining the company’s HubSpot CRM and marketing automation tools, including email campaigns and contact management.
- Planning and executing trade shows, conferences, and industry events, handling logistics, promotional materials, and post-event follow-up.
- Maintaining inventory and organization of trade show displays, branded merchandise, and marketing assets.
- Developing and managing LinkedIn marketing content and campaigns to boost brand awareness and lead generation.
- Updating the company website and collaborating with internal teams and vendors on digital marketing efforts.
- Tracking marketing performance and preparing reports for leadership.
- Providing senior-level administrative support to executives, including calendar management, travel arrangements, and meeting coordination.
- Drafting professional correspondence, reports, and presentations.
- Maintaining confidential records and organizing files efficiently.
- Assisting with special projects and office operations as needed.
What You'll Bring
The ideal candidate for this role will have:
- 5+ years of experience in marketing coordination or management roles.
- Proven experience working with external agencies and vendors.
- Hands-on experience with HubSpot CRM & Marketing Hub.
- Strong skills in creating print and digital marketing content.
- Experience planning and managing trade shows and corporate events.
- Knowledge of managing LinkedIn company pages and advertising campaigns.
- Excellent project management abilities with the capacity to juggle multiple priorities.
- Previous experience supporting senior executives with calendar and administrative tasks.

Location & Schedule:
This position is on-site in Costa Mesa and offers a standard daytime schedule from Monday to Friday, with hours between 7:00 AM and 4:00 PM.
