Job Title: Patient Access Specialist / Clerical Support Specialist

Job Description

This role provides comprehensive clerical and administrative support within a healthcare setting, focusing on the processing and distribution of medical records, explanation of benefits (EOBs), UB-92 forms, and itemized statements for internal and external stakeholders. You will work in a fast-paced clinical and hospital environment, supporting patient access, hospital billing, and professional fees while ensuring accurate documentation, timely communication, and exceptional customer service.

Responsibilities

  • Process and fulfill requests for medical records, explanation of benefits (EOBs), UB-92 forms, and itemized statements for internal and external stakeholders.
  • Break down and sort incoming mail, including rotating through mail handling responsibilities to ensure timely processing.
  • Receive and manage claims from multiple sources, ensuring accuracy and proper routing.
  • Work online files in the lockbox system and manage assigned work queues to support billing and access management activities.
  • Handle and respond to documentation and information requests related to hospital billing and professional fees.
  • Deliver documentation and records to designated internal and external business unit contacts in a timely and accurate manner.
  • Perform general office duties, including sorting correspondence, filing, photocopying, scanning, and indexing documents.
  • Manage mail printing, tracking, and distribution to ensure all materials reach the appropriate recipients.
  • Enter data accurately using both standard keyboard and 10-key by touch, maintaining high levels of accuracy and completeness.
  • Use EPIC and other healthcare systems, when applicable, to support patient access, customer service, and documentation workflows.
  • Research information and resolve issues independently, escalating complex matters as appropriate.
  • Prioritize tasks and manage multiple responsibilities simultaneously in a fast-paced environment.
  • Communicate clearly and professionally with patients, clinical staff, and other stakeholders, providing excellent customer service.
  • Learn new tasks and processes quickly to adapt to evolving operational needs.

Essential Skills

  • Previous office administrative experience in a clerical or support role.
  • Knowledge of healthcare and medical terminology.
  • Experience in patient access, medical customer service, or similar healthcare support functions.
  • Ability to research information and work independently with minimal supervision.
  • Ability to work effectively in a fast-paced environment and manage competing priorities.
  • High school diploma or equivalent.
  • Proficiency in MS Word, Excel, and Outlook.
  • Strong interpersonal, verbal, and written communication skills.
  • Excellent listening skills and strong organizational abilities.
  • Demonstrated ability to learn new tasks quickly and adapt to changing processes.
  • Strong prioritization and multitasking capabilities.
  • Familiarity with healthcare terminology and access management processes.
  • Strong customer service skills and a patient-centered approach.
  • Accurate data entry skills with 10-key proficiency by touch.
  • Comfort using healthcare software systems; EPIC experience is highly valued.

Additional Skills & Qualifications

  • Prior experience working in EPIC (highly preferred, considered a strong plus).
  • Experience supporting hospital billing and professional fee workflows.
  • Experience in outpatient or clinical settings such as hematology/oncology, imaging, occupational health, or surgery centers.
  • Experience working with lockbox systems, online files, and electronic work queues.
  • Familiarity with UB-92 forms, EOBs, and other healthcare billing and documentation formats.
  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
  • Comfort working across multiple departments and collaborating with diverse clinical and administrative teams.

Work Environment

You will work in a team-based office atmosphere within a large healthcare system, supporting outpatient and clinical areas, admissions, emergency department, and other hospital-based services. The primary locations include an office setting at a major medical center in Lebanon, NH, and an acute care hospital environment in Windsor, VT. Schedules are full-time, Monday through Friday, with start times typically between 6:30 a.m. and 7:30 a.m. Depending on assignment, you may support departments such as hematology/oncology (6:30 a.m.–3:00 p.m.), ultrasound (7:00 a.m.–4:00 p.m.), CT/MRI (early morning shifts), occupational health/general clinics, outpatient surgery center (extended weekday hours), admissions, and the emergency department (including daytime, evening, and overnight coverage). The work involves extensive use of computers, healthcare software such as EPIC, and Microsoft Office applications, as well as standard office equipment for printing, scanning, filing, and mail handling. You will operate in a fast-paced, detail-oriented environment where accuracy, professionalism, and confidentiality are essential.

This is a Contract to Hire position based out of Lebanon, NH.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr.
