The Distribution Coordinator manages the receiving and shipping counter operations within a busy distribution center. This role focuses on accurate data entry, document control, and close coordination with carriers, internal teams, and warehouse staff to ensure timely, accurate, and compliant shipping and receiving processes. The position supports daily dock operations, maintains critical records, and helps drive smooth inventory and order flow across the facility.
Responsibilities
- Manage the carrier driver check-in process and maintain accurate driver sign-in logs.
- Issue and control Bills of Lading (BOLs) to drivers, ensuring all documentation is complete and accurate.
- Coordinate daily inbound and outbound shipment schedules to support on-time shipping and receiving.
- Assign dock doors, with supervisor approval, to optimize facility flow and minimize congestion.
- Perform data entry for all shipping and receiving transactions in the appropriate systems.
- Review shipping and receiving documents for accuracy, completeness, and required signatures before processing.
- Maintain organized filing systems for all distribution paperwork and records.
- Ensure compliance with corporate document retention policies for all distribution documentation.
- Communicate with Customer Service Representatives (CSRs) regarding order changes, discrepancies, and special requirements.
- Make adjustments to orders when required, document all changes, and ensure updates are reflected in the system.
- Maintain accurate tracking of shipments within warehouse management systems (WMS) such as SAP and Red Prairie.
- Maintain the Dock Audit database and generate reports for leadership to support operational visibility.
- Track daily distribution activities and update work schedules to reflect current workload and priorities.
- Support performance reporting by providing accurate data and documentation related to distribution operations.
- Investigate shipping and receiving discrepancies, including quantity, documentation, or routing issues.
- Partner with Inventory Control and plant teams to resolve shipping and receiving issues promptly.
- Ensure corrected documentation is issued and communicate resolutions back to all relevant stakeholders.
- Work closely with warehouse supervisors, lift truck operators, checkers, and inventory teams to coordinate dock activities.
- Maintain consistent communication with external carriers and drivers to support smooth dock operations.
- Attend production scheduling meetings as required to align distribution activities with production plans.
- Train on and effectively use the company’s ERP system to support distribution and inventory processes.
- Strong attention to detail with the ability to review and verify shipping and receiving documents for accuracy.
- Proficiency in data entry for shipping, receiving, and inventory-related transactions.
- Experience with warehouse management systems, specifically SAP and Red Prairie.
- Ability to work with ERP systems and train on the company’s ERP platform.
- Knowledge of inventory control practices, including cycle counts and cycle counting processes.
- Previous warehouse experience with exposure to inventory control, warehouse inventory, and production environments.
- Competence in Microsoft Office applications, including Excel and Word.
- Ability to coordinate shipping and receiving operations and communicate effectively with carriers, CSRs, and warehouse staff.
- Capability to attend and contribute to production scheduling meetings.
- Solid computer skills to navigate WMS, ERP, and reporting tools.
- Ability to manage multiple tasks in a fast-paced distribution environment while maintaining accuracy.
- Experience working in shipping and receiving within a distribution center or similar environment.
- Background in using ERP systems for production, inventory, or distribution management.
- Familiarity with Dock Audit processes and reporting.
- Experience supporting performance reporting and operational visibility in a warehouse or distribution setting.
- Comfort working cross-functionally with warehouse supervisors, lift truck operators, checkers, inventory teams, and external carriers.
- Interest in taking on additional responsibilities and growing into leadership opportunities over time.

Work Environment
This role operates in a distribution center environment supporting canned goods operations. The position is scheduled for 2nd shift, typically from 3:00 p.m. to 11:00 p.m., with initial training on 1st shift for approximately 1–2 weeks to ensure a smooth onboarding. You will work closely with warehouse supervisors, lift truck operators, checkers, inventory teams, and external carriers in an active dock and warehouse setting. The environment relies on warehouse management systems such as SAP and Red Prairie, as well as ERP systems and Microsoft Office tools for daily operations, documentation, and reporting. Personal protective equipment (PPE) is provided, and there is a specific allowance for safety shoes and safety glasses, reflecting a strong emphasis on safety and compliance in the facility.

Pay and BenefitsThe pay range for this position is $21.00 - $21.00/hr.
