Job Description
Position Summary:
The Intake Specialist is responsible for conducting intake, eligibility screening, and enrollment for individuals and families seeking housing assistance. This role plays a key part in ensuring accurate eligibility determinations, proper documentation, and timely enrollment in accordance with program and funding requirements.
The Intake Specialist gathers and verifies participant information, maintains accurate records, and supports referrals to appropriate services. This position requires strong attention to detail, organizational skills, and the ability to work both independently and collaboratively in a fast-paced environment.
Key Responsibilities
Eligibility Screening & Intake
- Conduct initial screenings and intake assessments using standardized tools
- Determine and document eligibility based on program requirements
- Verify and collect documentation related to homelessness status, income, and household composition
Enrollment & Documentation
- Complete participant enrollment within required timelines
- Ensure all documentation meets compliance, regulatory, and audit standards
- Maintain accurate and organized participant files
Coordinated Entry & Referrals
- Participate in Coordinated Entry processes as required by funding sources
- Refer participants to appropriate support services based on needs and eligibility
- Communicate eligibility decisions and enrollment status to internal teams
Data Entry & Quality Control
- Enter and update participant information in HMIS or other required systems
- Perform regular data quality checks for accuracy and completeness
- Support reporting, audits, and compliance reviews
Participant Communication & Support
- Clearly explain program requirements, rights, and responsibilities to participants
- Ensure all required consent and release forms are completed and documented
- Provide referrals to alternative resources if participants are not eligible
Administrative Support
- Answer phones, greet clients, and assist visitors as needed
- Maintain internal tracking systems and program logs
- Provide administrative support to program staff and leadership
Compliance & Professional Standards
- Follow all program policies, procedures, and regulatory requirements
- Maintain confidentiality and protect sensitive information
- Apply fair housing and nondiscrimination practices
- Perform additional duties as assigned
Qualifications
- Associate’s degree in Human Services or a related field preferred, or at least 1 year of relevant experience
- Minimum of 1 year of experience in intake, eligibility, or social/homeless services
- Knowledge of housing programs and eligibility requirements preferred
- Experience using HMIS or similar data systems
