This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, has exceptional attention to detail, and can confidently support both project activities and executive-level administrative needs. The successful candidate will be a self-starter who takes ownership of tasks, follows through on commitments, and helps keep projects moving forward.

Key Responsibilities

  • Coordinate administrative activities across approximately 50 active development and investment projects.
  • Maintain project documentation, file structures, and document naming conventions to ensure organization and accessibility.
  • Track project deadlines, deliverables, and follow-up items to support timely execution.
  • Assist with preparing, organizing, and distributing project-related documents, reports, and correspondence.
  • Coordinate communication with municipalities, vendors, consultants, investors, and business partners.
  • Maintain databases, spreadsheets, and tracking tools used for project and investor management.
  • Assist with investor communications, reporting, tax document distributions, and other stakeholder requests.
  • Support leadership with scheduling, meeting coordination, travel arrangements, and general executive administrative needs.
  • Manage incoming requests and prioritize competing deadlines in a dynamic environment.
  • Identify opportunities to improve workflows, processes, and overall organization.
  • Provide general office support, including overseeing supplies, office coordination, and administrative operations.

  • 5+ years of administrative, project coordination, office management, executive assistant, or related experience.
  • Strong organizational skills with exceptional attention to detail.
  • Advanced proficiency in Microsoft Office, particularly Excel and Word.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Proven ability to work independently and exercise sound judgment.
  • Comfortable working in a fast-paced, entrepreneurial environment with changing priorities.
  • Professional demeanor and ability to interact confidently with executives, investors, and external stakeholders.

Preferred Qualifications

  • Experience supporting real estate development, construction, property management, or related industries.
  • Experience working with investors, high-net-worth individuals, or professional services organizations.
  • Background coordinating projects that involve multiple stakeholders and deadlines.
  • Experience developing or improving administrative workflows and processes.

Benefits

  • Employer-paid employee health coverage
  • Paid time off beginning in the first year of employment
  • 401(k) program
  • Family-first culture that supports work-life balance
  • Stable and growing organization with long-term career potential
  • Opportunity to work closely with leadership and play a key role in project success
