The Administrative Assistant provides administrative and clerical support to help keep daily office
operations running smoothly while assisting Foundation staff with administrative projects and data
management.
We're looking for someone who
● Has a high school diploma or equivalent
● Has 1–3 years of administrative, clerical, or office support experience (preferred)
● Has experience with data entry and document management (preferred)
● Is proficient in Microsoft Office, including Word, Excel, and Outlook
● Can quickly learn new software and database systems
● Demonstrates strong attention to detail and accuracy
● Has excellent organizational and time management skills
● Maintains confidentiality when handling sensitive information
● Works well independently and collaboratively as part of a team
● Provides excellent customer service and communicates professionally
● Can prioritize multiple tasks while meeting deadlines
● Is dependable, punctual, and comfortable performing repetitive administrative work
● Brings a positive, solutions-oriented mindset with strong problem-solving skills
● Is proactive, resourceful, and committed to continuous improvement
What you'll do
● Provide general administrative support to Foundation staff
● Answer phones, greet visitors, and provide backup reception coverage
● Open and close the office as needed, including covering breaks and lunch periods
● Organize and maintain common office areas
● Process incoming and outgoing mail
● Schedule meetings and prepare meeting materials
● Assemble packets, mailings, and printed materials
● Copy, scan, file, and prepare documents
● Maintain organized electronic and paper filing systems
● Monitor office supply inventory and assist with ordering supplies
● Monitor designated department email inboxes and process routine database updates
● Enter and maintain donor and organizational records with accuracy
● Upload supporting documentation into electronic filing systems
● Assist with post-event reconciliation and other data management activities
● Complete special projects and additional administrative duties as assigned
Physical requirements
● Must be able to sit or stand for extended periods throughout the workday
● Must be able to use a computer and standard office equipment for prolonged periods
● Must be able to occasionally lift and carry office materials or supplies up to 20 lbs.
● Must be able to perform repetitive tasks such as typing, filing, copying, and scanning
