We are seeking a professional, customer-focused Patient Services Coordinator (Scheduler) to join our healthcare team. In this role, you will serve as the first point of contact for patients, providing exceptional customer service while managing appointment scheduling, patient registration, insurance verification, and front office operations. The ideal candidate is organized, detail-oriented, adaptable, and thrives in a fast-paced medical environment.


Key Responsibilities

  • Greet and welcome patients, visitors, and family members in a courteous and professional manner.
  • Answer, screen, and direct incoming telephone calls to the appropriate staff while accurately documenting and relaying messages.
  • Check patients in for appointments and notify clinical staff of patient arrivals.
  • Provide patients with required registration and medical forms prior to appointments.
  • Review forms for accuracy and completeness before scanning and filing them into the electronic medical record.
  • Update patient demographic and insurance information.
  • Collect patient co-payments and outstanding balances and issue receipts.
  • Schedule, reschedule, and cancel patient appointments.
  • Document missed appointments and cancellations while notifying the appropriate clinical staff.
  • Coordinate physician-ordered outside consultations and procedures.
  • Schedule CT (CAT) scans and PET (Positron Emission Tomography) scans after insurance authorization has been obtained.
  • Scan and maintain updated insurance cards and patient documentation.
  • Maintain accurate patient records while ensuring HIPAA compliance.
  • Provide general administrative support, including scanning, filing, copying, and maintaining office forms and supplies.
  • Maintain a clean, organized, and welcoming reception area.
  • Support the organization's Compliance Program, Code of Ethics, Business Standards, and Shared Values.
  • Perform additional administrative duties as assigned.


Qualifications

  • High school diploma or equivalent.
  • Minimum of 18 months of medical front office, medical receptionist, or patient scheduling experience.
  • Experience working with medical insurance, patient registration, and scheduling software.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Strong computer and data entry skills.
  • Excellent verbal and written communication skills.
  • Outstanding customer service and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced healthcare environment.
  • Strong organizational skills with exceptional attention to detail.


Preferred

  • Knowledge of medical office workflows and scheduling procedures.
  • Experience coordinating diagnostic imaging appointments.
  • Familiarity with electronic medical record (EMR/EHR) systems.
