Job Title: Customer Service Representative
Job Description

The Customer Service Representative performs a wide range of administrative and office support functions for a busy customer service department in a fast-paced, high-energy manufacturing environment. This role serves as a key liaison between internal departments, the field sales team, distributors, and customers in the US and internationally, ensuring accurate order processing, timely deliveries, and exceptional customer service. The position is heavily focused on email communication, order entry, and logistics coordination rather than high-volume call center work.

Responsibilities

  • Respond to customer phone calls and email inquiries, providing clear and accurate information on products and services, order fulfillment, quotes, new account setups, and shipment tracking.
  • Serve as the first point of contact for general inquiries regarding products, machine requests, marketing materials, complaints, and technical service or support calls.
  • Ensure delivery of excellent customer service by processing requests quickly and accurately, communicating clearly, and coordinating with other departments to resolve inquiries in the best interest of the customer.
  • Collaborate closely with sales, marketing, accounting, manufacturing, and quality departments to support customer needs and internal processes.
  • Interface with shipping to arrange correct and timely deliveries, coordinate logistics, and process product returns when necessary.
  • Interact regularly with the field sales team to provide order and shipment status updates, account contract status, inventory reports and reconciliation, and sales leads.
  • Support field sales and coordinate logistics for marketing activities such as tradeshows, conferences, promotional materials, mailings, and related events.
  • Manage and coordinate export documentation and overseas shipment requirements, ensuring compliance with applicable regulations.
  • Perform accurate data entry and order entry into ERP or EDI systems and maintain up-to-date customer and order records.
  • Identify opportunities for process improvement within customer service and logistics workflows and assist in implementing enhancements.
  • Maintain a professional, service-minded approach and demonstrate strong teamwork and collaboration with colleagues at all levels.
  • Handle multiple tasks and priorities in a fast-paced environment while maintaining a high level of accuracy and attention to detail.
Essential Skills
  • At least 3 years of related experience in customer service and logistics coordination, preferably involving heavy equipment and complex, time-sensitive deliveries.
  • Background in manufacturing environments such as medical devices, aerospace, or industrial products; freight forwarding experience is acceptable.
  • Experience with export administration regulations, export documentation, and coordination of overseas shipments.
  • High school diploma or equivalent.
  • Strong customer service skills with the ability to manage inquiries, orders, and issues in a professional and timely manner.
  • Excellent verbal and written communication skills.
  • ERP or EDI system experience for order entry and data management, with flexibility regarding specific platforms.
  • Proficiency with general Microsoft Office tools and the ability to navigate and use Excel effectively.
  • Ability to work collaboratively with cross-functional teams including sales, marketing, accounting, manufacturing, quality, and shipping.
  • Strong organizational skills and attention to detail, especially in data entry, documentation, and logistics coordination.
  • Ability to prioritize multiple tasks in a fast-paced environment while maintaining accuracy and customer focus.
Additional Skills & Qualifications
  • Experience in the medical device industry or with specialized manufacturing products is highly beneficial.
  • Exposure to logistics coordination involving many moving parts, such as complex delivery schedules and equipment shipments.
  • Spanish language skills are a plus but not required.
  • Comfort working with international customers, distributors, and field sales teams.
  • Experience supporting marketing activities such as tradeshows, conferences, and promotional campaigns.
  • Interest in contributing to process improvement initiatives within customer service and logistics.
  • Ability to thrive in a smaller, stable company environment with a long-standing presence in its specialization.
Work Environment

This role is based 100% onsite at a single, smaller manufacturing facility with approximately 70 employees on site and a network of field sales representatives across the US. The majority of staff work on the production floor, and the customer service team consists of a supervisor and three customer service representatives in a collaborative environment that balances teamwork with focused, independent work. The position is not a traditional call center role and is heavily oriented toward email communication, order entry, and coordination of shipments and export documentation. The standard work hours are 8:00 a.m. to 4:30 p.m., providing a consistent daytime schedule. The company operates in the medical device manufacturing space, offering stability and a strong specialization that supports long-term career growth.

Pay and Benefits

The pay range for this position is $22.00 - $26.00/hr.
