Job Summary
The Sales and Marketing Coordinator supports the planning, coordination, and execution of sales and marketing activities that help drive customer engagement, lead generation, pipeline development, existing customer base growth, and overall business growth. This role works closely with the sales and marketing teams to maintain accurate customer and prospect data, coordinate campaigns and outreach, prepare sales materials, assist with daily quoting and pricing requests, support existing customer communication, identify opportunities within the current customer base, and track follow-up activity. The position requires strong organization, attention to detail, communication skills, and the ability to manage multiple sales and marketing priorities in a fast-paced business environment.
Key Responsibilities
· Coordinate day-to-day sales and marketing activities, including campaign support, lead follow-up, customer outreach, meeting preparation, and internal communication.
· Maintain accurate customer, prospect, lead, opportunity, marketing list, and campaign information in company systems.
· Support lead management activities by entering new leads, assigning follow-up items, tracking prospect activity, updating contact information, and coordinating next steps with the sales team.
· Assist with marketing campaign execution, including email campaigns, customer announcements, event promotion, social media support, website content updates, and vendor or partner marketing initiatives.
· Prepare and coordinate sales and marketing materials, including proposals, presentations, flyers, customer communications, campaign content, and internal documents.
· Assist with daily quoting and pricing requests, including gathering product or service information, confirming pricing details, preparing quote documentation, and coordinating approvals or follow-up with the appropriate team members.
· Support outreach, communication, and follow-up with the existing customer base, including renewals, account updates, customer check-ins, marketing communications, service awareness, customer satisfaction follow-up, and general customer care items.
· Help identify opportunities within the existing customer base for additional services, upgrades, renewals, referrals, testimonials, case studies, account review discussions, cross-sell opportunities, and improved customer engagement, and coordinate appropriate follow-up with the sales team.
· Prepare sales and marketing reports, pipeline updates, lead tracking summaries, campaign performance updates, contact lists, dashboards, and management summaries.
· Coordinate with sales, marketing, operations, finance, vendors, and internal teams to support proposals, campaigns, events, renewals, customer communications, and follow-up activity.
· Assist with scheduling meetings, preparing agendas, tracking follow-up items, documenting next steps, and supporting internal communication related to sales and marketing initiatives.
· Help maintain brand consistency, accurate messaging, organized documentation, and timely follow-through across sales and marketing activities.
· Identify opportunities to improve sales and marketing coordination, reporting, customer communication, and overall process efficiency.
Required Qualifications
· High school diploma or equivalent required; associate or bachelor’s degree in marketing, communications, business administration, sales, or a related field preferred.
· One or more years of experience in marketing coordination, sales support, customer service, office administration, business development support, or a related role.
· Strong organizational skills with the ability to manage multiple campaigns, tasks, deadlines, lists, follow-up items, and priorities.
· Excellent written and verbal communication skills, including professional phone and email etiquette.
· Strong attention to detail and accuracy when working with customer information, lead lists, campaign details, pricing, quotes, proposals, reports, and documentation.
· Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Teams.
· Experience using CRM platforms, email marketing tools, marketing automation platforms, customer databases, reporting dashboards, or social media platforms preferred.
· Experience with ConnectWise is a bonus.
· Ability to work collaboratively with sales representatives, marketing resources, managers, customers, vendors, finance, operations, and customer support teams.

· Comfort reviewing pricing details, preparing basic quotes, and coordinating with sales, vendors, or internal teams to confirm quote accuracy.
· Ability to stay organized, problem-solve, ask good questions, and escalate issues appropriately.
· Experience supporting technology, telecommunications, managed services, professional services, business-to-business sales, or marketing teams is a plus.
· Positive attitude, team-oriented approach, and willingness to learn new systems, sales processes, marketing tools, and company terminology.
Work Environment
This role typically works in an office environment and requires regular communication with internal teams, customers, vendors, sales representatives, and marketing partners. The Sales and Marketing Coordinator must be comfortable using business software systems, maintaining accurate records, coordinating outreach, supporting campaigns, preparing materials, tracking follow-up items, and handling multiple sales and marketing priorities at the same time.
