Location: Sacramento, CA
Schedule: Part-Time, 20 hours per week - long term, no end date projected (Tuesday - Thursday)

Position Summary
Reporting to executive leadership, the Governance Support Multimedia Specialist is responsible for coordinating the logistics and multimedia support for public meetings, preparing meeting materials, assisting with governance activities, and ensuring meetings are professionally executed from start to finish.
This position requires attendance at in-person meetings in the Sacramento area and offers a flexible 20-hour per week schedule.
Key Responsibilities
- Coordinate logistics for public board, committee, and governance meetings.
- Prepare, proofread, format, and distribute meeting agendas and supporting materials.
- Set up and break down meeting rooms before and after meetings.
- Operate and troubleshoot audio/visual equipment, Zoom meetings, livestreams, and presentation technology.
- Perform quality assurance reviews of meeting materials for accuracy, formatting, and completeness.
- Track deadlines and coordinate document submissions from multiple departments.
- Attend meetings and prepare accurate, organized meeting minutes documenting discussions, motions, and action items.
- Provide backup support for governance and board liaison activities as needed.
- Assist executive leadership with special projects and administrative assignments.
Qualifications
- Experience coordinating meetings, events, executive support, governance, or administrative operations.
- Proficiency with:
- Microsoft 365 (Word, PowerPoint, Teams, SharePoint, OneDrive)
- Zoom
- Experience providing technical support to users with varying levels of technical proficiency.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication skills.
- Ability to prioritize competing deadlines in a fast-paced environment.
- High level of professionalism, discretion, and attention to detail.
Preferred Qualifications
- Experience supporting executive leadership, boards, commissions, or public meetings.
- Experience preparing meeting minutes.
- Knowledge of meeting logistics and audio/visual technology.
- Exceptional proofreading and document formatting skills.
- Strong active listening and customer service skills.
Physical & Work Environment
- Primarily office-based.
- Ability to work at a computer for extended periods.
- Occasionally lift or move items weighing up to 15 pounds.
- Ability to travel to meeting locations within the Sacramento area.
- Occasional flexibility in schedule to support meetings outside normal business hours.
Compensation & Schedule
- Part-Time: Approximately 20 hours per week
