PACT MSO, LLC is a management service organization that supports a large multi-specialty practice of providers. We are currently looking for an experienced Staffing Specialist who will be working onsite daily in Branford Monday through Friday from 8:30am to 5:00pm.

Summary

This position is responsible for coordinating and administering the full recruitment lifecycle, with a primary focus on the administrative functions that support an efficient hiring process. Responsibilities include maintaining open position reports in Excel, posting job openings, preparing and extending employment offers, coordinating onboarding activities, and facilitating new hire orientation. This position handles a high volume of open positions and high volume of active candidates for different specialties, various jobs, and numerous locations.

Approximately 80% of this role is administrative, with a strong emphasis on maintaining the Applicant Tracking System (ATS). The position is responsible for ensuring candidate records are accurate and up to date, monitoring candidate progression through each stage of the recruitment process, generating and analyzing ATS reports, and ensuring the recruiting workflow operates efficiently and effectively.

This position is not responsible for interviewing candidates or actively sourcing prospective applicants. Instead, it serves as the administrative hub of the recruitment process, ensuring accuracy, compliance, and a seamless experience for candidates and hiring managers throughout the hiring lifecycle.

Essential Functions

  • Manages the full recruiting life cycle by maintaining the applicant tracking system (ATS) through daily and continuous review of resumes and applicant tracking.
  • Review high volume of resumes daily and ensure candidates are accurately placed in the appropriate job and correct status.
  • Review daily applicant status of review resume, phone screen, interview, waiting to interview, etc.
  • Post jobs, follow up with hiring managers, extend offers, complete offer letters and assist with onboarding.
  • Collaborate and coordinate with the HR coordinator.
  • Update and maintain open position report including filled, eliminated, and hold positions.
  • Reconciles open position report with ATS weekly.
  • Conducts new hire orientation (NHO)
  • Coordinate with other departments the NHO schedule
  • Review resumes to accurately sources resume to the appropriate hiring manager
  • Follow up with the hiring managers during the recruitment process to ensure each stage of the process is handled efficiently.
  • Manages, organizes, and maintains candidate assessments
  • Ensures compliance with federal, state, and local employment laws and regulations, and company policies
  • Performs other duties as assigned

Skills and Knowledge

  • Advanced level of excel
  • Thorough knowledge of Applicant Tracking System, preferably UKG, including data entry reporting and data analysis.
  • Strong understanding and experience in data extraction from ATS to analyze candidate status and job status
  • Experience in fast-paced human resources department with high number of positions to fill.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with good negotiation tactics.
  • Ability to create and implement sourcing strategies for recruitment for a variety of roles.
  • Proactive and independent with the ability to take initiative.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
  • Proficient with ATS and HRIS
  • Knowledge of Microsoft Office Suite.

Education and Experience

    • 5 years of In-house recruiting experience in an HR or Staffing department.
    • Associates degree
    • 5 years of experience working with ATS, extracting data and managing open positions and high volume of candidates.
    • 5 years of full life cycle recruiting experience
    • 5 years of experience with HRIS
