The Construction Assistant provides administrative and project support to the Director of Construction, ensuring accurate estimate reviews, organized scheduling, and smooth coordination across all project phases. This role is responsible for reviewing estimates for accuracy, preparing documentation, managing calendars, and communicating with subcontractors, vendors, and internal teams. The Construction Assistant helps keep projects on track by maintaining detailed records, coordinating meetings, and supporting day‐to‐day construction operations.


Key Responsibilities

  • Review construction estimates for accuracy, completeness, and alignment with project scope.
  • Assist the Director of Construction with scheduling meetings, site visits, inspections, and project milestones.
  • Organize and maintain project files, drawings, contracts, and documentation.
  • Communicate with subcontractors and vendors regarding schedules, deliverables, and required paperwork.
  • Prepare bid packages, gather subcontractor quotes, and support the estimating process.
  • Track project deadlines, follow up on outstanding items, and ensure timely completion of tasks.
  • Assist with purchase orders, material tracking, and invoice routing.
  • Coordinate internal communication between project managers, superintendents, and office staff.
  • Support the Director of Construction with daily administrative tasks and project updates.
  • Maintain accurate logs for RFIs, submittals, change orders, and other project documents.


Qualifications

  • Experience in construction administration, estimating support, or project coordination preferred.
  • Strong organizational skills with high attention to detail.
  • Ability to manage multiple tasks and deadlines in a fast‐paced environment.
  • Proficiency in Microsoft Office (Excel, Outlook, Word); construction software experience a plus.
  • Strong communication and follow‐through with both internal teams and external partners.
  • Ability to learn new systems and processes quickly.
  • Reliable, punctual, and able to support multiple projects simultaneously.
