At iTalk Speech & Language Therapy, we help children and adults find their voice. Every family who walks through our door is trusting us with something important — and the person at our front desk is the first person they meet.
Many of our families are more comfortable speaking Spanish. For them, being able to ask questions about their child’s care in their own language changes the entire experience. That’s why this role requires fluency in both Spanish and English — it isn’t a bonus here, it’s central to the job.
We’re looking for a Front Office Coordinator who is warm with families, organized under pressure, and comfortable navigating insurance. This is a role with real ownership and real growth. As our clinic expands, so will your responsibilities.
What you’ll do
- Welcome and support our families — in English and Spanish
Answer calls and greet families arriving for appointments
Communicate comfortably in Spanish with our Spanish-speaking families, including explaining insurance coverage, appointment details, and paperwork
Guide new families through the intake process from first call to first visit
Be a calm, reassuring presence for parents who are often navigating this for the first time - Keep the schedule running
Schedule, confirm, and reschedule appointments
Manage the waitlist and fill cancellations
Coordinate therapist schedules - Handle the insurance side
Verify eligibility and benefits before the first visit
Explain coverage and out-of-pocket costs clearly to families
Collect copays and process payments
Grow into more: you’ll take on prior authorizations, claim follow-up, and credentialing support. We’ll train you — but we’re looking for someone who wants that growth, not someone looking to stay in one lane.
Required:
Fluency in Spanish and English — speaking, reading, and writing. You’ll explain insurance benefits, appointment details, and paperwork in Spanish every day.
High school diploma or equivalent.
[1-2]+ years in a medical, dental, or therapy office front desk role.
Comfort with insurance verification and terminology.
You’ll do well here if you:
Stay organized when the phone is ringing and someone is at the desk.
Communicate clearly and kindly, in writing and on the phone, in both languages.
Follow through without needing reminders.
Handle confidential information with real discretion.
Even better if you have:
Experience in pediatric therapy — speech, OT, PT, or ABA.
Experience with Medi-Cal managed care plans (CalOptima, CHOC Health Alliance, IEHP, Molina).
Prior authorization submission experience.
California Regional Center experience.
