📍 Location: NYC Hybrid (Monday-Thursday Onsite | Friday Remote)
About the RoleOur client is seeking an organized and detail-oriented Accounts Payable Specialist to manage the full AP process while supporting travel and expense administration for a growing media organization. This role offers the opportunity to collaborate across finance and editorial teams, improve processes, and play a key role in ensuring accurate financial operations.
Key Responsibilities- Manage the full Accounts Payable cycle, including vendor onboarding, invoice processing, and payment execution.
- Serve as the primary contact for vendor inquiries, resolving issues and maintaining strong vendor relationships.
- Ensure accurate coding and documentation of transactions for financial reporting purposes.
- Partner with management to ensure timely and accurate vendor payments.
- Oversee the travel and expense management system (Nexonia), including policy compliance and user support.
- Review, audit, approve, and process expense reports and purchasing card transactions.
- Monitor travel and entertainment spending trends and recommend process improvements.
- Support implementation and maintenance of expense management systems and tools.
- Assist with Accounts Receivable activities, including invoicing and payment tracking.
- Collaborate with finance and editorial teams on contributor agreements, subscriptions, and other operational initiatives.
- Support ad hoc projects and continuous improvement efforts across the finance function.
- 2+ years of Accounts Payable experience.
- Strong understanding of AP processes, vendor management, and invoice processing.
- Experience supporting Accounts Receivable functions, including invoicing and payment tracking.
- Experience with Bill.com or similar payment processing platforms.
- Proficiency in Microsoft Excel and financial data management.
- Experience with travel and expense management systems such as Nexonia.
- Knowledge of accounting principles related to AP and AR transactions.
- Strong attention to detail, organization, and problem-solving skills.
- Excellent communication skills with the ability to work cross-functionally.
- Ability to handle confidential information with professionalism and discretion.
- Bachelor's degree in Accounting, Finance, or a related field.
- Experience with SaaS vendor management, including contract renewals and cost optimization.
- Exposure to media, publishing, or content-focused organizations.
- Experience identifying process improvements and supporting system implementations.
- Ability to thrive in a fast-paced, growing environment.

Pay and BenefitsThe pay range for this position is $30.00 - $40.00/hr.
