Operations & Registration Support Coordinator
Position Summary LHH Recruitment Solutions is seeking an organized and detail-oriented Operations & Registration Support Coordinator to provide administrative and operational support for our client, a premier gathering of healthcare executives, innovators, policymakers, and industry thought leaders. This role will play a key part in supporting event operations, registration management, invitation tracking, attendee reporting, and stakeholder outreach. The successful candidate will help manage and maintain accurate attendee data across multiple systems while supporting the team's transition away from CRM as the primary source of truth for invitations, registrations, attendance, and outreach activities. This opportunity is ideal for a professional who excels in a fast-paced environment, enjoys working with data and detailed tracking processes, and can effectively coordinate multiple priorities while maintaining exceptional accuracy. Location: Chicago, IL (Hybrid/Onsite as needed) Required Event Attendance: Must be available to work onsite in Chicago for an Innovation Summit from September 27-30, 2026. Employment Type: Temporary Contract Assignment (Non-Exempt) Duration: ASAP through Mid-October 2026 Pay Rate: $28.00 - $31.00 based on experience Benefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits, and 401K plan. Key Responsibilities Registration & Invitation Management
  • Track and manage Summit invitations, registrations, cancellations, and attendance records.
  • Maintain accurate registration information across multiple trackers and reporting tools.
  • Monitor registration activity and provide regular status updates to stakeholders.
  • Reconcile attendee information across various sources to ensure data accuracy and consistency.
  • Support invitation distribution and follow-up outreach efforts.
Data Management & Reporting
  • Maintain detailed spreadsheets, trackers, and operational reports.
  • Validate and audit attendee and outreach data to identify discrepancies and ensure accuracy.
  • Generate attendance, registration, and outreach reports for leadership and event stakeholders.
  • Support data clean-up initiatives and ongoing process improvements.
  • Assist with reporting related to client engagement and Summit participation.
Operational & Administrative Support
  • Coordinate day-to-day event operations and administrative activities.
  • Support meeting scheduling, logistics coordination, and internal communications.
  • Respond to inquiries related to registration and event participation.
  • Assist with document preparation, materials management, and event-related communications.
  • Partner with internal teams to ensure smooth execution of Summit-related activities.
Onsite Event Support
  • Provide onsite support during the Oliver Wyman Health Innovation Summit in Chicago.
  • Assist with attendee check-in, registration management, issue resolution, and operational logistics.
  • Support real-time attendance tracking and reporting during the event.
  • Help ensure a seamless attendee experience throughout the Summit.
Qualifications Required Qualifications
  • Bachelor's degree preferred or equivalent professional experience.
  • 2+ years of administrative, operations, event coordination, registration management, or project support experience.
  • Advanced organizational skills with strong attention to detail and accuracy.
  • Experience managing large volumes of information, data, and tracking tools.
  • Strong proficiency with Microsoft Office Suite, particularly Excel.
  • Ability to create, maintain, and reconcile complex spreadsheets and trackers.
  • Excellent verbal and written communication skills.
  • Strong problem-solving skills and ability to manage competing priorities.
  • Ability to work independently while collaborating effectively with cross-functional teams.
Preferred Qualifications
  • Experience supporting corporate events, conferences, or executive-level meetings.
  • Prior experience with registration systems, CRM platforms, or event management tools.
  • Experience preparing operational reports and analyzing registration or attendance data.
  • Familiarity with healthcare, consulting, professional services, or corporate event environments.
Pay Details: $28.00 to $31.00 per hour
