Position Overview
Cyril Senior Care is seeking a reliable and detail-oriented Part-Time Care Coordinator to support our daily office operations, caregiver scheduling, and client services.
This is an office-based position designed for an experienced coordinator, scheduler, or healthcare administrative professional who is specifically seeking a consistent part-time opportunity rather than full-time employment. The regular schedule will be approximately 15 hours per week and will be established based on the needs of the agency and the availability of the selected candidate.
Some flexibility is required because additional daytime hours may occasionally be offered or needed for planned office coverage, employee absences, or increased workload. This position does not include evenings, weekends, or on-call responsibilities.
Primary Responsibilities
- Answer incoming office calls and respond professionally to caregivers, clients, and families.
- Assist with caregiver scheduling, open shifts, call-outs, and schedule changes.
- Contact caregivers regarding their availability and upcoming assignments.
- Monitor electronic visit verification activity and follow up on missing or incorrect clock-in and clock-out records.
- Assist with cleaning up schedules and collecting outstanding timesheets before payroll processing.
- Maintain accurate caregiver, scheduling, and office records.
- Communicate schedule updates and service-related information to clients and their families.
- Document calls, concerns, and follow-up actions accurately.
- Learn the agency’s scheduling and office systems.
- Develop the ability to independently manage routine office operations and provide coverage when needed.
- Complete other coordination and administrative duties related to home care operations.

The ideal candidate is dependable, organized, comfortable speaking with different personalities, and able to remain calm when schedules change or urgent coverage is needed. This person follows through without repeated reminders, pays close attention to details, and understands that reliable office coverage directly affects clients and caregivers.

Qualifications
- At least one year of coordination, scheduling, staffing, healthcare administration, or related office experience.
- Previous home care experience is preferred but not required.
- Experience communicating with clients, employees, or patients by telephone.
- Strong computer, data-entry, and recordkeeping skills.
- Ability to learn scheduling and electronic visit verification systems.
- Strong written and verbal communication skills.
- High school diploma or equivalent required.
- Must successfully complete all required employment screenings and background checks.
Training and Expectations
The selected candidate will receive training on Cyril Senior Care’s scheduling, communication, documentation, and office procedures. Our goal is for the employee to become comfortable managing routine coordination responsibilities and capable of covering normal office operations independently within approximately 60 days.
This is a permanent part-time position. It is not intended to transition into a full-time role at this time.
