We are seeking a highly organized and detail-oriented professional to support a dynamic development team in a fast-paced, collaborative environment. This role is ideal for someone who enjoys keeping operations running smoothly, coordinating administrative tasks, and helping teams stay focused on delivering high-quality work. The successful candidate will be proactive, dependable, and comfortable managing a variety of responsibilities with accuracy and minimal oversight.
Responsibilities- Provide day-to-day administrative support to the development team.
- Coordinate meetings, prepare agendas, and capture notes and action items as needed.
- Maintain organized records, files, and documentation related to team activities and projects.
- Help track deadlines, deliverables, and status updates across multiple priorities.
- Communicate with internal team members to maintain progress on active developments.
- Liaise with internal and external partners in a professional manner.
- Coordinate property closings, obtain signatures and facilitate communication with external team members.
- Manage team checklists across multiple properties and keep long lead items forefront in priority.
- Attend in person and virtual meetings; representing the team professionally and confidently.
- Identify opportunities to improve administrative processes and team efficiency.
- Previous administrative, coordination, or office support experience.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a team-oriented environment.
- Proficiency with common productivity tools such as email, calendars, spreadsheets, and document management systems.
- Discretion when handling confidential or sensitive information.
- Problem-solving skills and a proactive, resourceful approach to work.
- Ability to work independently while contributing effectively to a collaborative team.
- Experience supporting an industry oriented team (construction, architect, engineer, developer, real estate).
- Familiarity with project tracking or collaboration tools.
- Experience coordinating cross-functional communication and logistics.
- Comfort preparing professional documents and simple presentations.
