Job Description
We are looking for an organized and proactive Part Time Executive Assistant with some marketing experience to provide high-level administrative support to senior leadership in Waterville, Maine. This position is great for someone who is looking for flexibility with schedule! This part time on site role is ideal for someone who can manage competing priorities, handle sensitive information with discretion, and keep daily operations running smoothly. The successful candidate will bring strong coordination skills, sound judgment, and the ability to communicate effectively across a range of internal and external contacts. Additional skills are marketing, social campaigns, and media.
Responsibilities:
• Oversee complex calendars, schedule appointments, and coordinate changes to ensure leadership time is managed efficiently.
• Handle social media, media campaigns, and marketing.
• Prepare for executive meetings by organizing agendas, gathering materials, tracking follow-up items, and supporting timely communication.
• Maintain digital records and documents through accurate electronic filing practices that support easy access and compliance.
• Support communications and outreach efforts by assisting with social media content coordination and promotional activity.
• Serve as a key point of administrative contact, responding to inquiries professionally and escalating matters when appropriate.
• Help streamline office workflows by monitoring priorities, managing deadlines, and assisting with special projects as assigned.
• Demonstrated experience providing executive-level administrative support in a fast-paced, detail-focused environment.
• Strong ability to manage calendars, coordinate meetings, and handle shifting priorities with accuracy.
• Social media and marketing experience is a plus.
• Proficiency with electronic filing systems and standard office software applications.
• Familiarity with social media platforms and basic support for advertising or promotional initiatives.
• Excellent written and verbal communication skills with a high degree of discretion.
• Strong organizational skills, attention to detail, and the ability to work independently while meeting deadlines.
