THE POSITION
As a Medical Records Assistant with the Department of Corrections (DOC), you help manage vital inmate health records and ensure they are accurate, complete, and protected in a secure correctional setting. This position lets you work in a fast-paced environment where strong organization and attention to detail make a real impact. You support important health care processes, keep records moving efficiently, and help maintain smooth office operations at the State Correctional Institution (SCI) at Camp Hill. This role is ideal for someone who is energized by detailed work, motivated by teamwork, and committed to maintaining records that staff can trust.

DESCRIPTION OF WORK

This position prepares, organizes, and maintains medical records for the State Correctional Institution at Camp Hill. The work supports accurate documentation, timely record handling, and proper storage of health information. As a Medical Records Assistant, you will perform the following duties:

  • Record Maintenance: Prepare and maintain electronic, paper, and film medical records while reviewing entries for completeness and accuracy
  • Documentation Processing: Upload, merge, extract, and update information in the Electronic Health Record system
  • Record Handling: File, withdraw, issue, deliver, and retrieve records in accordance with confidentiality rules and legal requirements
  • Transfer Coordination: Prepare records for inmate transfers or parole and notify health care staff about inmate discharge status
  • Archiving Duties: Archive hardcopy and electronic files, ensure timely submission of paper files to the State Records Center, and file inactive records appropriately
  • Reporting Tasks: Update tracking logs, prepare statistical reports, verify coding, and support management reviews

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday.
  • Telework: You will not have the option to telework in this position.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year of clerical experience maintaining or reviewing medical records, transcribing dictated or recorded medical information, or conducting medical abstracting and coding; or
  • Graduation from an accredited medical secretarial, medical records, medical transcription, medical assisting, medical coding, or health information management program; or
  • An equivalent combination of experience and training.


Other Requirements:

  • Successful completion of basic training in Elizabethtown, PA is required.

  • You must be able to perform essential job functions.
