Administrative Assistant / Customer Service Representative (CSR) / Dispatcher
Location: Yakima, WA
Job Type: Full-Time | Monday–Friday
Paul's Air F/X is a growing, family-owned HVAC company proudly serving the Yakima Valley. We are looking for a friendly, organized, and motivated Administrative Assistant / Customer Service Representative (CSR) / Dispatcher to join our office team.
This position reports directly to the Office Manager and plays an essential role in the daily operations of our company. The ideal candidate enjoys helping people and excels at staying organized. This role combines customer service, appointment scheduling, dispatching, and administrative support for both our Service and Installation departments. You'll work with a combination of proprietary scheduling software and general office programs while helping ensure our customers receive exceptional service from the first phone call to the completion of their project.
Responsibilities
- Answer incoming phone calls and assist customers with professionalism and a positive attitude
- Schedule service calls and coordinate technician dispatching
- Communicate with customers and technicians regarding appointments, scheduling updates, and job progress
- Assist with billing, invoicing, payment processing, and general office administration
- Enter and maintain accurate customer information within company software
- Order office supplies and job materials as needed
- Provide administrative support to the Service and Installation departments
- Maintain organized digital and paper records through filing and scanning
- Deliver exceptional customer service with every customer interaction
- Assist with other office duties as assigned
Preferred Qualifications
- 2+ years of customer service or office experience (preferred but not required)
- High school diploma or equivalent
- Strong computer skills, including Microsoft Office
- Experience with scheduling, dispatching, billing, or invoicing is a plus
- Excellent communication and phone etiquette
- Strong organizational, multitasking, and time management skills
- Ability to work independently while contributing positively to a team environment
- Positive attitude, dependable, detail-oriented, and eager to learn
