THE ROLE
Seeking a Property Management Inspection Coordinator to support the day-to-day operations of our Property Management department by serving as the “eyes on the ground” across the portfolio.
This role is responsible for conducting property inspections, documenting unit and property conditions, identifying maintenance or safety concerns, and helping ensure our properties are clean, compliant, well-documented, and ready for the next step in the management cycle.
You will work closely with Property Managers, Maintenance, vendors, and operations leadership to identify issues early, reduce surprises, and keep property information accurate and actionable.
WHAT YOU’LL DO
• Conduct move-in, move-out, vacant unit, and routine property inspections.
• Complete detailed inspection reports with photos, notes, and clear condition documentation.
• Identify damages, safety concerns, violations, deferred maintenance, and property readiness issues.
• Monitor vacant units for condition, security, cleanliness, and turn readiness.
• Support municipal inspections, compliance needs, violation tracking, and re-inspection follow-up.
• Communicate findings clearly to Property Managers, Maintenance, vendors, and leadership.
• Log inspection results, photos, notes, and recommended next steps in Buildium or other tracking systems.
• Help support security deposit documentation, resident accountability, and owner communication.
• Flag urgent issues early so they do not become larger problems, delays, or avoidable costs.
• Maintain organized records so the team can rely on accurate property information.
WHAT WE’RE LOOKING FOR

• Clear, direct communication — written, verbal, and photo-based.
• Strong organizational habits and consistent follow-through.
• Comfort working independently in the field while staying connected to the office team.
• Ability to assess property condition, document facts, and escalate concerns appropriately.
• Basic working knowledge of property management, maintenance, inspections, or real estate operations preferred.
• Comfort using software, mobile apps, photos, checklists, and digital documentation tools.
Valid driver’s license required.
Reliable transportation required.
Active New Jersey real estate license (Optional)

• Inspection reports are clear, complete, timely, and useful.
• Vacant units are checked consistently and issues are identified early.
• Property Managers and Maintenance receive accurate information they can act on.
• Fewer surprises, fewer preventable delays, and fewer undocumented property issues.
• Compliance, safety, and condition concerns are escalated before they become bigger problems.
• The team has confidence that property conditions are being monitored and documented properly.
