We are looking for a highly organized Administrative Coordinator to support daily operations in Schaumburg, Illinois. Responsibilities:
• Coordinate administrative activities that keep internal teams organized, informed, and prepared to meet daily priorities.
• Manage customer-facing contracts and related documentation with accuracy, timeliness, and proper follow-through.
• Communicate with vendors to track updates, resolve outstanding items, and maintain productive working relationships.
• Scan, file, and organize records so documents remain accessible, current, and compliant with internal standards.
• Arrange meetings and time-sensitive team gatherings promptly, ensuring the right participants are informed and prepared.
• Support calendar management and scheduling needs to help maintain smooth day-to-day operations.
• Respond to inbound calls and direct inquiries professionally while providing timely administrative support.
• Use Microsoft Office and Salesforce to update information, track activities, and assist with operational workflows.
• Previous experience in administrative support, office coordination, or a similar business support role.
• Proficiency with Microsoft Office applications, including Outlook, Word, SharePoint, and Excel.
• Experience handling contracts, business documents, and general records management tasks.
• Ability to manage calendars, coordinate schedules, and respond effectively to shifting priorities.
• Strong communication skills with the ability to interact professionally with customers, vendors, and internal teams.
• Comfortable working in a fast-paced environment where responsibilities may vary from day to day.
• Experience answering inbound calls and providing responsive administrative assistance.
