We are looking for an experienced Sr. Administrative Assistant to provide dependable support to senior leadership and help maintain smooth daily operations in our office. This contract-to-permanent opportunity is ideal for someone who thrives in a fast-paced corporate environment, exercises sound judgment, and can balance executive support with office coordination responsibilities. The role offers the chance to contribute across administrative, operational, and workplace functions while building broad experience.
Responsibilities:
• Coordinate calendars, meetings, and travel-related arrangements for senior leaders while ensuring schedules and logistics run efficiently.
• Organize onsite meetings, team gatherings, and office events, including room preparation, catering, and related support details.
• Manage incoming communications, mail, packages, records, and general office correspondence with accuracy and professionalism.
• Oversee daily administrative activities that keep the office functioning effectively and create a positive workplace experience.
• Partner with vendors, building management, and service providers to address facility needs, maintenance requests, and workplace issues.
• Maintain inventory levels for office supplies and shared resources, placing orders as needed to support business operations.
• Assist with workspace changes, workstation setup, safety-related activities, and initiatives that improve office efficiency.
• Contribute to administrative and facilities projects by monitoring timelines, organizing documentation, and following up on action items.
• Support expense oversight and vendor-related administrative tasks, including basic budget tracking and coordination.
• Provide responsive front-office assistance, including reception-style support, call handling, and general administrative coverage when needed.• Prior experience providing administrative support to senior leaders within a corporate or office setting.
• Strong ability to organize tasks, communicate clearly, and deliver excellent service to internal and external stakeholders.
• Proven success working independently, showing initiative, and managing multiple priorities with minimal supervision.
• High degree of discretion and attention to detail when handling sensitive information and daily responsibilities.
• Proficiency with Microsoft Office applications, including Word and Excel; familiarity with SharePoint is preferred.
• Experience with office administration, data entry, inbound call handling, and general reception or front-desk responsibilities.
• Ability to support both onsite office needs and remote leader coordination in a dynamic work environment.
