What You'll Do

Grant Administration & Special Projects

Working under the direction of the Public Works Special Projects Coordinator, you will:

  • Research and pursue federal, state, tribal, and private funding opportunities.
  • Prepare compelling grant applications, budgets, and supporting documentation.
  • Assist with grant management from application through closeout.
  • Track funding opportunities, reporting deadlines, and project schedules.
  • Coordinate procurement activities in compliance with City policies and the New Mexico Procurement Code.
  • Monitor budgets, reimbursements, expenditures, and grant compliance requirements.
  • Coordinate with consultants, engineers, contractors, architects, surveyors, and funding agencies.
  • Prepare reports, presentations, correspondence, and project documentation for leadership and governing bodies.
  • Support the development of scopes of work, budgets, funding strategies, and capital improvement initiatives.

Planning, Zoning & Community Development

Working under the supervision of the City Manager, you will:

  • Coordinate the review and processing of planning, zoning, subdivision, and development applications.
  • Provide excellent customer service to residents, property owners, developers, and business owners.
  • Assist with development reviews and ensure compliance with City regulations and ordinances.
  • Support code enforcement tracking and compliance activities.
  • Prepare public notices, staff reports, and meeting materials.
  • Present routine planning and zoning matters before the Planning Commission and City Council.
  • Maintain planning and zoning records, maps, files, and databases.
  • Assist with ordinance updates, comprehensive planning efforts, and long-range community development initiatives.

Administrative Support

You will also:

  • Maintain records, schedules, databases, and departmental files.
  • Prepare agendas, minutes, reports, and correspondence.
  • Assist with public information and website updates.
  • Cross-train with other administrative staff and provide support as needed.

Minimum Qualifications

Education & Experience

Candidates must possess one of the following:

  • High school diploma or GED plus two (2) years of specialized training or experience in grant administration, project coordination, procurement, planning and zoning, municipal administration, or a related field; OR
  • Associate degree or coursework in planning and zoning, public administration, business administration, construction management, or a related field (preferred); OR
  • An equivalent combination of education and experience.

Knowledge, Skills & Abilities

Successful candidates will demonstrate:

  • Knowledge of office administration, records management, and customer service principles.
  • Proficiency with Microsoft Office Suite, Adobe Acrobat, and standard office technologies.
  • Understanding of grants management, project coordination, procurement, planning and zoning, or municipal operations.
  • Ability to interpret ordinances, regulations, policies, and grant requirements.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage competing priorities and meet deadlines.

Special Requirements

  • Valid New Mexico Driver's License.
  • Ability to obtain and maintain a Notary Public commission, if required.

Work Environment & Schedule

This position is primarily office-based with occasional field visits to project sites, development locations, and public meetings.

Regular Schedule: Monday - Thursday | 7:00 AM - 5:30 PM

This position also requires flexibility to attend occasional evening meetings, including Planning and Zoning Commission and City Council meetings. Schedule adjustments may be approved to accommodate meeting attendance and operational needs.
