Job Description:
The Executive Assistant will provide proactive administrative support to executive leadership, managing complex schedules, coordinating travel, preparing presentations, and assisting with high-priority business initiatives. The ideal candidate is adaptable, highly organized, and thrives in an environment where priorities can shift quickly while maintaining professionalism and confidentiality.
Key Responsibilities:
- Manage complex calendars for executive leaders, balancing changing priorities and scheduling demands.
- Coordinate domestic and international travel, including flights, hotels, transportation, and detailed itineraries.
- Prepare professional PowerPoint presentations and executive meeting materials using business data.
- Organize executive meetings by securing conference rooms, coordinating catering, and preparing materials.
- Assist with expense reporting and travel reimbursements using Concur.
- Support executive projects by tracking deadlines, organizing documentation, and coordinating communication across teams.
- Help facilitate leadership meetings, quarterly business reviews, and other company events.
- Maintain confidential records and handle sensitive business information with discretion.
- Partner with internal departments and external vendors to ensure smooth day-to-day executive operations.
- Provide additional administrative support and special projects as assigned.
Qualifications:
- 5+ years of experience supporting C-suite executives or senior leadership.
- Strong proficiency in Microsoft Office, particularly Outlook and PowerPoint.
- Experience with Concur is highly preferred.
- Exceptional organizational, communication, and multitasking skills.
- High level of professionalism, discretion, and attention to detail.
- Bachelor's degree is preferred but not required.
