Executive Assistant
Location: Boston, MA (Hybrid)
Pay Rate: $30-$31/hour
Job Type: Contract (6 months with potential extension)
Schedule: Monday-Friday, 1st Shift | 35 hours/week
Work Arrangement: Hybrid – 4 days onsite, 1 remote day per week
Location: 300 Massachusetts Avenue, Boston, MA
Job Summary:
Our client is seeking an experienced Executive Assistant to provide administrative support to the Vice President of Advancement Resources. This role will support executive-level operations, project coordination, event initiatives, budget tracking, reporting, and data management.
The ideal candidate will be a highly organized, detail-oriented professional with strong communication and project management skills. This position is best suited for someone who can independently manage multiple priorities, anticipate needs, and build strong relationships across an organization.
Key Responsibilities:
Executive & Administrative Support (30%)
- Provide administrative support to the Vice President, including calendar management, meeting preparation, document preparation, and research.
- Manage projects from initiation through completion while maintaining timelines and priorities.
- Track budgets, spending, invoices, and expenses while providing updates and summaries.
- Assist with expense reporting and reconciliation.
Data Management & Reporting (15%)
- Compile, format, analyze, and interpret data to identify trends and provide recommendations.
- Create reports, dashboards, and data extracts using existing systems.
- Support data management initiatives and learn new technologies as needed.
Event & Engagement Coordination (45%)
- Support engagement efforts and events, including invitation tracking, follow-up communications, and event coordination.
- Assist with projects related to the Village of Belonging initiative.
- Collaborate with project managers and communications teams on outreach and engagement activities.
- Assist with social media coordination and related administrative tasks.
Additional Responsibilities (10%)
- Perform other duties and special projects as assigned.
Required Qualifications:
- Bachelor’s degree required.
- 3-5 years of experience in an administrative, executive assistant, or office support role.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Strong attention to detail and problem-solving skills.
- Experience gathering, analyzing, and reporting data.
- Advanced proficiency with Microsoft Excel.
- Experience managing databases and information systems.
Preferred Qualifications:
- Experience supporting executive leadership.
- Experience with CRM systems, especially Salesforce.
- Experience with reporting tools such as Tableau or Cognos.
- Strong project management experience.
- Ability to adapt quickly and learn new systems and processes.
