Job Description
Are you an organized multitasker with a warm, professional demeanor and a strong work ethic? We’re looking for a dedicated Reception/Mail Assistant to be the face of our office and a key player behind the scenes. What You’ll Be Doing:
- Greet and assist clients and visitors in person, by phone, and via email with professionalism and care.
- Manage all incoming and outgoing mail—sort, distribute, and prepare packages with accuracy and urgency.
- Handle and organize sensitive documents with strict confidentiality and attention to detail.
- Provide general administrative support, including filing, scanning, copying, data entry, and more.
- Maintain an orderly and welcoming reception area, conference rooms, and shared spaces.
- Support legal staff with preparing demand packages and facilitating case resolutions.
- Track and manage key legal deadlines, including statutes of limitations.
- Keep case information up to date in our CRM system with accuracy and timeliness.
- Assist the HR department with administrative support as needed.
What We’re Looking For:
- A college degree and at least one year of relevant office or administrative experience.
- Fluency in Spanish is preferred but not required.
- A proactive attitude, a strong sense of ownership, and a willingness to jump in wherever needed.
- Excellent multitasking skills—you’ll be juggling calls, emails, in-person requests, and time-sensitive tasks all at once.
- Strong customer service abilities, sharp attention to detail, and the ability to stay focused under pressure.
- Solid typing and data entry skills, with a commitment to speed and accuracy.
- Strong written and verbal communication skills.
- A great attitude and a sense of humor—we value teamwork and positivity.
