Right At Home is a non-medical, in-home caregiving agency serving Santa Clara and the surrounding area. We provide compassionate, high-touch care to clients managing Alzheimer's, Parkinson's, late-stage cancer, and other complex health needs. We're looking for a detail-oriented scheduler to help ensure our clients receive consistent, reliable care.

Position Summary
The Scheduler is responsible for coordinating caregiver schedules to ensure all client shifts are covered, managing last-minute changes, and maintaining accurate scheduling records in WellSky. This role is critical to the day-to-day operations of the agency and requires strong organizational skills, clear communication, and the ability to problem-solve quickly under time pressure.

Key Responsibilities

  • Build, maintain, and adjust caregiver schedules in WellSky to ensure full shift coverage

  • Match caregivers to clients based on skill set, location, availability, and client preferences/needs

  • Handle same-day call-offs and emergencies by quickly identifying and confirming replacement caregivers

  • Communicate schedule changes clearly and promptly to caregivers, clients, and families

  • Maintain accurate, up-to-date records of caregiver availability, certifications, and client care plans within WellSky

  • Track and flag scheduling gaps, overtime risk, or compliance issues (e.g., required hours, break rules)

  • Support on-call scheduling coverage during evenings/weekends as needed

  • Collaborate with care coordinators and office staff to ensure care plans are being followed as scheduled

  • Assist with onboarding new clients and caregivers into the scheduling system

Qualifications

  • Proficiency with WellSky scheduling software required (or strong proficiency with similar home care/healthcare scheduling platforms, with willingness to train)

  • Prior scheduling, dispatch, or coordination experience, ideally in home care, healthcare, or a related service industry

  • Excellent organizational skills and close attention to detail

  • Strong written and verbal communication skills

  • Ability to stay calm and solve problems quickly during last-minute schedule changes

  • Comfortable working independently and managing competing priorities

  • Basic computer proficiency (email, spreadsheets, scheduling software)

Preferred

  • Experience in home care, hospice, or healthcare scheduling

  • Familiarity with California labor rules related to caregiver scheduling (breaks, overtime, etc.)
