Start Date: August 10, 2026
Schedule: Monday, Wednesday, Friday | 9:00 AM – 5:00 PM
Dress Code: Business Casual

Position Overview
We are seeking a highly organized and customer-focused Administrative Assistant to support the daily operations of a residential community management office. This role requires strong administrative, communication, and organizational skills while providing exceptional service to residents, vendors, and internal team members.
The ideal candidate is detail-oriented, able to manage multiple priorities, and thrives in a fast-paced office environment.
Qualifications
- Minimum of 3 years of administrative or related office experience
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office and general computer applications
- Strong data entry and recordkeeping skills
- Excellent customer service and interpersonal skills
- Ability to multitask, prioritize, and work independently
- Experience in property management, community associations, or customer service is a plus
Key Responsibilities
Administrative Support
- Greet residents, visitors, and vendors in a professional and friendly manner.
- Answer and direct incoming phone calls while maintaining accurate call records.
- Respond to resident inquiries or direct requests to the appropriate team member.
- Prepare correspondence, mailings, reports, and other administrative documents.
- Assist with preparing meeting agendas, board packets, management reports, and related materials.
- Schedule and organize office files, records, and documentation.
- Maintain office supply inventory and coordinate supply orders.
- Assist with homeowner onboarding, including updating records and account information.
Work Order & Resident Services
- Enter, track, and monitor maintenance work orders.
- Coordinate with maintenance staff and vendors regarding work requests.
- Update work order records and ensure documentation is completed before closing requests.
- Maintain accurate records of resident communications and service requests.
- Assist with community communications, newsletters, and resident notifications.
Accounting & Records
- Receive, date-stamp, and process incoming invoices.
- Organize financial documentation and maintain accurate filing systems.
- Verify invoice documentation and maintain payment records.
- Assist with maintaining homeowner files, correspondence, and community records.
Customer Service
- Deliver exceptional customer service to homeowners, contractors, vendors, and visitors.
- Maintain professional communication with residents and internal staff.
- Support community operations through timely follow-up and accurate recordkeeping.
Physical Requirements
- Ability to sit, stand, walk, bend, and lift up to 25 pounds as needed.
- Ability to use computers, keyboards, phones, and other office equipment throughout the workday.
- Ability to work indoors with occasional outdoor responsibilities.
- Must be able to manage multiple assignments, changing priorities, and frequent interruptions while maintaining accuracy and professionalism.
- Availability to work occasional evenings, weekends, or holidays if business needs require.
