About this job
Job Description
Patterson Bray PLLC is a growing estate planning firm in Brentwood. We help clients put solid plans in place for their families and assets, and we’re looking for a sharp, organized legal assistant to join the team.
This role supports our attorneys on estate planning, probate, and trust administration work from start to finish. You’ll draft and prepare documents with attorney supervision, handle client communication, keep files and calendars in order, and make sure deadlines don’t slip. If you’re detail-oriented, comfortable talking with clients, and like keeping things moving, this could be a good fit.
What You’ll Do
Estate Planning Work
- Draft, revise, and finalize wills, revocable and irrevocable trusts, powers of attorney, healthcare directives, deeds, and other related documents under attorney supervision
- Proof documents for accuracy, consistency, and formatting before attorney review
- Assemble client binders and electronic packages
- Coordinate signing appointments and make sure witnesses, notaries, and paperwork are ready
- Work closely with attorneys and staff to keep matters on track
Client Communication
- Act as a main point of contact for clients by phone, email, and in person
- Handle intake, collect information, run conflict checks, and open files
- Keep clients informed and follow up on missing documents or signatures
- Communicate with financial advisors, accountants, and other professionals involved in a matter when needed
Probate & Trust Administration
- Help prepare court filings, inventories, accountings, notices, and correspondence
- Gather financial information from clients and track deadlines
- Coordinate document requests from banks and other third parties
Day-to-Day Support
- Manage attorney calendars (meetings, court dates, deadlines, signings)
- Maintain electronic and physical client files
- Enter information into the firm’s case and document management systems
- Prepare engagement letters, correspondence, and other administrative documents
- Handle scanning, filing, mail, and general office organization
What We’re Looking For
Preferred
- Prior experience as a legal assistant or secretary, ideally in estate planning, probate, elder law, or trust administration
- Comfort with legal documents and terminology
- Experience in a professional office setting
Required Skills
- Strong organization and the ability to juggle multiple priorities
- Careful attention to detail
- Clear written and verbal communication
- Professional, client-focused approach
- Ability to keep confidential information confidential
- Proficiency with Microsoft Word, Outlook, Excel, and Adobe Acrobat
- Willingness to learn practice management and document automation software
- Solid proofreading and formatting skills
- Ability to work independently and as part of a small team
We care more about reliability, resourcefulness, and a good attitude than perfect prior experience. If you have solid legal or administrative experience and are willing to learn the estate planning side, we’d like to hear from you.
Compensation & Benefits
Competitive pay based on experience. Benefits include medical and dental insurance with additional benefits available as part of the firm’s package.
