Job Description
We are looking for a highly organized part-time Administrative Assistant to support daily office operations. This long-term contract position is ideal for someone who enjoys keeping workstreams moving, managing details accurately, and contributing to a well-run onsite environment. The role offers a steady weekday schedule and focuses on providing hands-on administrative support across office coordination, documentation, and event-related tasks.
Responsibilities:
• Maintain organized filing systems and ensure records, forms, and office documents are completed accurately and easy to retrieve.
• Provide day-to-day administrative support by preparing paperwork, updating information in office systems, and assisting with routine clerical requests.
• Coordinate logistics for trade shows and similar events, including booth materials, travel arrangements, and related administrative follow-up.
• Route checks and supporting documents to the appropriate approvers while helping track completion in a timely manner.
• Keep shared office areas, shelves, and workspaces orderly to support an efficient and well-organized environment.
• Assist with front-office and receptionist-style tasks, including handling inbound calls and directing inquiries appropriately.
• Enter and maintain data with a high level of accuracy using Microsoft Office tools and internal administrative records.
• Take on additional office support duties as needed to help the team stay on schedule and operations run smoothly.
• Previous experience in an administrative, office support, receptionist, or similar clerical role.• Strong attention to detail with the ability to manage paperwork and data accurately.
• Proficiency in Microsoft Office, particularly Word and Excel.
• Comfortable working onsite in an office setting during weekday business hours.
• Effective organizational skills with the ability to manage multiple tasks and shifting priorities.
• Clear written and verbal communication skills, including courteous phone etiquette.
• Strong computer and data entry skills, along with the ability to stay productive in a fast-paced environment.
