Job Summary:

Under the direction of the Business Office Supervisor, assists in performing the functions of a Patient Support Services Specialist, Patient Access Representative, Appointment Clerk and Switchboard Operator. Assist in providing coverage at all clinic sites.


Essential Functions:

  • Checks patients in and out.
  • Collects and posts payments.
  • Handles patient inquires and responds to their questions and concerns.
  • Gathers required documents from client for registration.
  • Assures that all required forms are complete and signed.
  • Enters information gathered from the client into the practice management software
  • Assists in updating demographic and insurance information, as needed.
  • Verifies insurance eligibility and PCP, by phone and website.
  • Communicates with other department staff regarding the scheduling of patients.
  • Balances monies collected daily against the computer and daily ledger sheet.
  • Obtains copies of third party identification cards.
  • Participates in Performance Improvement when required.
  • Verifies patient balances and communicate balances with Billing and Collections Supervisor

regarding the collection of past due balances.

  • Makes appointments for all patients, in person or by telephone in accordance with defined

appointment procedures, and in agreement with provider schedules and clinic hours.

  • Assists the Patient Support Specialists in handling client requests, registering walk-ins and directing patient flow.
  • Screens calls and provides essential information (i.e. address and telephone number) for

accuracy and updates information in the computer.

  • Verifies patient demographic information (i.e. address and telephone number) for accuracy and

updates information in the computer.

  • Communicates all scheduling changes and problems to the Business Office Supervisor in

a timely manner.

  • Calls patients on a daily basis to remind them of their appointment for all providers.
  • Responsible for re-scheduling patients as needed when scheduling changes occur.
  • Handles phone inquiries and route calls to appropriate department or staff.
  • Provides brief information concerning the services available and hours of operation.
  • Ensures appropriate telephone coverage while leaving the station.
  • Transfers calls to the answering service for “After Hour Calls”.
  • Performs clerical duties and other tasks as assigned by the department managers.
  • Verifies patient’s eligibility with insurances.
  • Communicate with patients regarding their benefits and coverages to include explanation of

deductibles, copayments and coinsurance.

  • Communicates and demonstrates the mission, vision and values of the Center.
  • Performs other related duties as assigned.


Knowledge, Skills and Abilities:

  • Computer literate.
  • Ability to maintain patient confidentiality.
  • Ability to work with a diverse patient population.
  • Ability to work at the time and location assigned.
  • Knowledge of insurance billing, Medicare, and Medicaid billing.
  • Well-developed verbal and written communication skills.
  • Skilled in alpha/number filing and strong skills in numeric organization.


Minimum Qualifications:

  • High school diploma or GED.
  • Minimum of three months experience working in a healthcare environment.
  • Training or experience in medical records preferred.
  • Experience in private insurance, Medicare/Medicaid preferred.
  • Bilingual in English/Spanish preferred.

Mondays, Wednesday and Fridays-Day Shift
Tuesdays and Wednesday-Evening Shift 1:00 PM-9:00 PM
