Assistant Property Manager
Brooklyn, NY, US
Major Real Estate company is seeking a full-time Assistant Property Manager to provide administrative, financial, and operational support for the Company's satellite office based in downtown Brooklyn.
This is a full-time onsite position based in Brooklyn, New York.
Key Responsibilities Include:
- Manage day-to-day administrative functions with a strong focus on financial accuracy and budget compliance.
- Own accounts payable processes, including rigorous auditing of invoices to ensure accuracy, proper coding, and alignment with approved budgets.
- Lead or co-lead competitive bidding of contracted services, including cost analysis and vendor evaluation
- Prepare company service agreements and monitor contracted services to ensure spend remains within budgeted parameters.
- Facilitate day-to-day tenant relations, supporting operational needs and inquiries on all sides
- Develop, implement, monitor, and enforce property rules and regulations
- Own accounts receivable for 3rd party billings and actively support the corporate accounts receivable department to minimize outstanding balances.
- Assist with quarterly and annual budget accruals, ensuring accurate financial reporting and forecasting.
- Assist with the preparation and compilation of the annual property budget.
- Support CAM reconciliation process.
- Process tenant billings accurately and on schedule.
- Manage supply procurement within approved budget parameters
- Establish, implement, and oversee vendor check-in/check-out procedures
- Supervision and coordination of on-site contractors
- Monitor vendor performance against contract terms and escalate deficiencies.
- Ensure property compliance with local regulations, local laws, and inspections
- Provide backup support as needed for absent management team members.
- Other administrative, clerical, or operational duties as assigned by management.
Qualifications:
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field required
- 4+ years' experience in property management, financial administration, or a related field with demonstrated budget management responsibilities
- Solid understanding of accounting principles, including accounts payable/receivable, accruals, and budget tracking — essential for success in this role
- Proven ability to manage and monitor budgets, analyze financial data, and identify cost variances
- Ability to manage multiple priorities, administrative coordination, and logistics
- Outstanding written and verbal communication skills
- Advanced proficiency in MS Office Suite, particularly Excel for financial tracking and reporting
- Must demonstrate strong attention to detail with excellent organizational and follow-up skills
- Ability to thrive in a fast-paced environment
- Ability to work a flexible schedule to accommodate business needs, including holidays
- Experience with MRI and/or Nexus strongly preferred given the financial reporting requirements of this role
