Inspection Documentation Specialist

The Inspection Documentation Specialist ensures that all inspection-related records, reports, and compliance documentation are accurate, complete, and compliant with applicable regulations.

Core Responsibilities

1. • Document Intake & Organization: Receive inspection reports, checklists, and related materials, validate their completeness, and store them in the correct format (digital or physical)
   • Version Control & Change Management: Track revisions, retire outdated versions, and ensure updates are properly documented to maintain audit trails.
   • Compliance Support: Produce and ensure documentation meets internal policies and regulatory requirements (e.g., FDA, AS9100 or industry-specific standards).
   • Audit Readiness: Prepare and maintain records for internal audits or external inspections, ensuring all inspection findings, corrective actions, and follow-ups are traceable.
   • Reporting & Retrieval: Maintain logs and retrieval systems so that inspection data can be accessed quickly and accurately when needed.
   • Collaboration: Work with inspectors, quality assurance teams, and compliance officers to ensure documentation supports inspection outcomes and corrective actions.

Skills & Qualifications

1. • Strong attention to detail and accuracy
   • Knowledge of document control systems
   • Knowledge of AS9000
   • Familiarity with inspection standards and compliance frameworks
   • Ability to manage multiple documents and deadlines
