Surgical Scheduling & Patient Registration Specialist
Position Summary
We are seeking an experienced Surgical Scheduling & Patient Registration Specialist to coordinate pediatric clinic visits, surgical procedures, diagnostic services, and related appointments within a fast-paced healthcare environment. This role will manage scheduling, insurance verification, referrals, pre-certifications, prior authorizations, and patient registration while coordinating with physicians, families, multidisciplinary teams, and surgical facilities.
The ideal candidate will have strong healthcare scheduling experience, excellent attention to detail, and a solid understanding of insurance, authorization, and surgical coordination processes.
Required Qualifications
Education
- High School Diploma or GED required.
Experience
- Minimum 3 years of progressive experience in patient registration, medical scheduling, insurance verification, or surgical scheduling within a healthcare setting.
- Surgical scheduling experience required.
- Experience with insurance authorization, pre-certification, and eligibility verification required.
- Experience coordinating multiple providers, appointments, procedures, and clinical services in a fast-paced healthcare environment.
Certifications
- None required.
Technical Skills
- Proficiency with Cerner or a similar EMR/scheduling system.
- Strong knowledge of medical insurance verification procedures.
- Knowledge of medical terminology.
- Working knowledge of healthcare insurance, referrals, pre-certifications, authorizations, and billing processes.
- Proficiency with Microsoft Office applications.

- Ability to work effectively with patients, families, physicians, and multidisciplinary teams.

Key Responsibilities
- Coordinate clinic visits and surgical procedures for pediatric patients.
- Schedule procedures for the Children's Hospital Operating Room, Ambulatory Surgery Center, and affiliated hospitals or surgery centers.
- Obtain physician and facility pre-certifications and prior authorizations.
- Verify insurance eligibility, benefits, referrals, copays, deductibles, and required documentation prior to procedures.
- Coordinate appointments, diagnostic testing, anesthesia consultations, and surgical services to provide a seamless patient experience.
- Maintain accurate patient registration, demographic, insurance, and guardianship information.
- Communicate with parents, guardians, physicians, clinical staff, and internal departments regarding scheduling, authorizations, and procedural requirements.
- Coordinate vendor services and specialized equipment required for surgical procedures.
- Monitor case readiness and ensure all required documentation is complete before surgery.
- Follow up on missing referrals, authorizations, test results, and other required documentation.
- Maintain accurate scheduling and patient records in the EMR system.
- Assist with resolving scheduling, insurance, and authorization issues in a timely manner.
- Support effective communication and collaboration across multidisciplinary teams.
- Deliver professional, compassionate, and responsive customer service to pediatric patients and their families.
- Perform additional administrative and scheduling duties as assigned.
