Visiting Nurse Service Westchester are seeking a highly organized and detail-oriented Medical Supply & Patient Care Coordinator to support our Clinical Operations team.

This position oversees medical supply purchasing, inventory, distribution, cost control, and equipment coordination for our Certified Home Health Agency (CHHA).

About the Position

The Medical supply and Patient Care Coordinator will work closely with clinical staff, leadership, vendors, and operational teams to ensure supplies and equipment are available when needed, while maintaining efficient inventory practices and cost-conscious purchasing. This role will also provide scheduling support and coverage as needed, assist with administrative and clinical operations, and step in to support other departments or areas of the agency as business needs arise.


Key Responsibilities
  • Manage medical and clinical supply inventory, purchasing, distribution, and utilization.
  • Monitor stock levels, place orders, and prevent supply shortages.
  • Conduct inventory audits and maintain accurate records.
  • Review products for expiration dates and remove expired items according to agency policy.
  • Prepare nursing bags, clinical kits, and supplies for field staff.
  • Process approved supply requests with attention to cost and utilization.
  • Serve as the primary contact for medical supply vendors.
  • Resolve product issues, substitutions, backorders, pricing, and delivery concerns.
  • Assist leadership with vendor and product evaluations.
  • Monitor vaccine and temperature-sensitive supply storage and maintain required logs.
  • Assist with vaccine inventory and preparation.
  • Support Clinical Managers, the Wound Specialist, and Clinical Office Manager with operational needs.
  • Assist with hospital follow-up calls, reports, scheduling coverage, quality initiatives, and special projects.
Qualifications

Required:
  • High School Diploma or GED.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and follow-through.
  • Strong communication and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Ability to work independently and collaboratively.
Preferred:
  • 2+ years of experience in medical supplies, inventory management, purchasing, healthcare operations, or a related field.
  • Experience in Home Health, Home Care, Hospice, or healthcare.
  • Associate Degree in Healthcare Administration, Business Administration, Supply Chain Management, or a related field.
  • Experience with medical supply vendors, inventory systems, healthcare software, or electronic medical records.
