The RoleAs our Legal Operations & Risk Specialist, you will support the Finance & Business Operations function by overseeing contract administration, risk management, insurance coordination, intellectual property protection, and compliance workflows. This role owns the systems and processes that protect the business operationally while helping maintain efficient commercial execution across venue placements, event activations, vendors, and strategic partnerships.
What You’ll OwnContract Administration & Commercial Support- Manage the intake, review, routing, and tracking of client, venue, vendor, and contractor agreements to ensure timely execution and visibility across departments.
- Own contract workflow systems, templates, clause libraries, and approval processes to improve consistency, efficiency, and risk management.
- Coordinate contract redlines and negotiations using approved fallback language to support deal completion while protecting company interests.
- Monitor contract renewal dates, termination windows, insurance requirements, and deliverables to ensure compliance and operational follow-through.
- Ensure executed agreements are properly organized, stored, and accessible for leadership, operations, and finance teams.
- Manage insurance policies, renewals, certificates of insurance (COIs), claims coordination, and broker communication to maintain proper business coverage and compliance.
- Coordinate workers’ compensation, general liability, auto, inland marine, cyber, and event-specific insurance processes to reduce operational risk exposure.
- Monitor incident reporting workflows for property damage, injuries, vendor disputes, and operational claims to ensure proper documentation and resolution.
- Ensure venues, vendors, contractors, and partners meet insurance and risk management requirements before project execution.
- Maintain organized insurance records, claim logs, and compliance documentation to improve visibility and response times.
- Manage trademark tracking, renewal calendars, and intellectual property records to protect company brand assets and proprietary materials.
- Coordinate with outside counsel on trademark filings, cease and desist matters, infringement monitoring, and intellectual property disputes.
- Monitor unauthorized use of company trademarks, branding, creative assets, and proprietary materials to support brand protection efforts.
- Ensure contracts contain appropriate ownership, licensing, confidentiality, and work-for-hire provisions to protect company intellectual property.
- Maintain organized records of brand assets, registrations, releases, and intellectual property documentation.
- Coordinate business licenses, annual filings, registrations, and compliance requirements across operating states to maintain good standing.
- Monitor contractor agreements, vendor compliance requirements, and operational documentation to support legal and regulatory compliance.
- Manage policy documentation, waiver templates, retention standards, and internal compliance records to improve organizational consistency.
- Ensure compliance workflows are documented, maintained, and communicated across departments to reduce operational gaps and risk exposure.
- Coordinate with leadership and outside providers on employment, operational, and regulatory compliance matters as needed.
- Coordinate communication, documentation, and workflows with outside legal counsel, insurance brokers, and compliance vendors to improve responsiveness and issue resolution.
- Manage legal matter tracking, invoice organization, and case documentation to improve visibility and administrative efficiency.
- Gather operational details, supporting documents, and internal context for escalated legal, insurance, and compliance matters.
- Monitor open legal and risk-related items to ensure deadlines, deliverables, and follow-up actions are completed on time.
- Support leadership with operational reporting, risk visibility, and process recommendations related to contracts, compliance, insurance, and legal operations.

Education
- Bachelor's degree in Business Administration, Legal Studies, Paralegal Studies, Risk Management, Finance, Public Administration, or a related field preferred.
- Equivalent professional experience will also be considered.
- Paralegal certification, contract management, compliance, or risk management certifications are a plus but not required
- 3–6 years of experience in legal operations, contract administration, risk management, compliance, procurement, business operations, or a similar operational role.
- Experience reviewing commercial agreements, coordinating with outside legal counsel, managing insurance programs, or supporting compliance initiatives is preferred.<
