Position SummaryWe are seeking a detail-oriented and organized Document Specialist to support our operations and project teams. The Document Specialist is responsible for managing, tracking, and maintaining company records, project documentation, and electronic files to ensure accuracy, compliance, and accessibility. This position is critical in supporting efficient project execution and maintaining documentation standards throughout the organization.
Key ResponsibilitiesMaintain and organize electronic and physical document filing systems
Process, review, and distribute project documentation
Track document revisions and ensure version control accuracy
Assist project managers, engineers, and operations personnel with document requests
Scan, upload, and archive records according to company procedures
Prepare reports, correspondence, and project-related documentation
Ensure documentation complies with company policies and client requirements
Coordinate document approvals and maintain records of completed actions
Verify accuracy and completeness of documents before distribution
Support administrative and clerical functions as needed
High school diploma or equivalent required
Associate degree or relevant administrative experience preferred
Previous document control, administrative, or office experience preferred
Strong computer skills, including Microsoft Word, Excel, Outlook, and Adobe PDF
Excellent organizational and time-management skills
High attention to detail and accuracy
Ability to handle confidential information professionally
Strong written and verbal communication skills
Ability to work independently and as part of a team
Experience with document management systems
Experience working in the energy, construction, engineering, or manufacturing industries
Knowledge of records management and document control procedures
