Job Description
We are an established and growing, locally owned and operated water damage restoration company with our offices located in Northeast Vancouver, WA. We're looking for a dependable, highly organized Office Administrator & Accounting Coordinator to become a long-term and important part of our team.
With less than 50 employees, we're not a big corporate environment. We have a close-knit, family-style culture where people know each other, work together personally and in proximity, and depend on one another. Because of that, reliability, teamwork, communication, and personal accountability matter to us. We do not tolerate toxicity and insist that our team members ‘play nicely with others.’
More than anything else, we need someone we can count on - someone who shows up consistently and on time, takes ownership of their responsibilities, follows through, and doesn't need constant supervision.
This position combines bookkeeping and accounting support with office administration, scheduling, customer service, HR support, and general executive assistance.
This is a full-time, in-office position at our Vancouver, WA location. Remote work is not available for this position.
Responsibilities
· Basic bookkeeping, expense management, and account reconciliations
· Payroll processing and payroll recordkeeping
· Accounts payable
· Working with state and federal payroll tax agencies
· Working in both QuickBooks Online and QuickBooks Desktop
· Accurate data entry and auditing for errors or discrepancies
· Maintaining organized company records and documentation
· Coordinating and maintaining multiple schedules, deadlines, and time-sensitive projects
· Providing professional customer service and reception by phone, email, and in person
· Assisting with basic HR/personnel administration and compliance
· Providing administrative and executive-assistant support to company leadership
· Handling general office responsibilities as needed
Qualifications
· Experience with QuickBooks Online and/or QuickBooks Desktop
· Bookkeeping, payroll, and accounts payable experience
· Experience dealing with state and federal payroll tax agencies
· Excellent attention to detail and data accuracy
· Strong organizational and time-management skills
· Ability to prioritize multiple time-sensitive responsibilities
· Customer service and reception experience
· Experience coordinating multiple schedules
· Basic understanding of HR/personnel responsibilities and compliance, or the aptitude to learn
· Ability to self-manage and work effectively without constant supervision
· Professional communication skills and good judgment when handling confidential information
· Typing speed of at least 80 WPM with accuracy
· 10-key speed of at least 10,000 KPH with accuracy

This position pays $55,000-$75,000 per year, depending on experience and qualifications.
· Medical and dental benefits available to eligible employees following a 60-day waiting period after the date of hire
· 1 week of paid vacation accrued per year
· Paid sick time accrued in accordance with Washington State law
