Job Description
This position is located in Fairfield, New Jersey, and will be fully onsite during the introductory/probationary period.
Following successful completion of the probationary period, a hybrid work arrangement may be discussed based on performance, demonstrated reliability, departmental needs, and management approval. Hybrid work is not guaranteed.
New Jersey Respiratory Associates is seeking a dependable and highly organized Assistant Staffing Coordinator to support the scheduling and deployment of healthcare employees across multiple facilities and service locations.
The ideal candidate will have one to two years of healthcare staffing or employee-scheduling experience and the ability to manage changing priorities in a fast-paced environment. Experience staffing respiratory therapists or employees working in skilled nursing facilities is a plus.
The Assistant Staffing Coordinator will work closely with the Staffing Coordinator, Human Resources, clinical leadership, and respiratory therapy staff to maintain appropriate facility coverage and support reliable service delivery.
Essential ResponsibilitiesAssist with scheduling respiratory therapists and other healthcare employees across mobile accounts, ventilator units, skilled nursing facilities, and other assigned service locations.
Review facility staffing needs, employee availability, qualifications, geographic coverage, and scheduling requirements.
Communicate employee assignments, open shifts, schedule changes, and coverage expectations clearly and promptly.
Contact qualified employees to fill open shifts and address call-outs, coverage gaps, and other urgent staffing needs.
Assist with preparing and maintaining recurring employee schedules.
Maintain accurate records of employee availability, shift assignments, schedule changes, time-off requests, and coverage activity.
Help place appropriately qualified employees based on facility needs, clinical requirements, and employee experience.
Monitor and respond to staffing communications received by telephone, email, and company systems.
Collaborate with Human Resources and clinical leadership regarding new hires, employee orientation, scheduling availability, and readiness for assignment.
Maintain Excel spreadsheets, staffing trackers, and reports for departmental leadership.
Assist employees with scheduling questions and communicate applicable attendance and scheduling expectations.
Support additional staffing and administrative responsibilities as assigned.
One to two years of experience coordinating or scheduling healthcare employees.
Strong working knowledge of Microsoft Excel.
Excellent organizational and time-management skills.
Strong attention to detail and commitment to maintaining accurate records.
Effective written and verbal communication skills.
Ability to manage multiple priorities and respond appropriately to changing staffing needs.
Demonstrated problem-solving skills and the ability to remain professional in high-pressure situations.
Ability to handle confidential employee and business information appropriately.
Ability to work four 10-hour shifts per week at the Fairfield, New Jersey office.
Proficiency with Microsoft Office and staffing or workforce-management systems.
Experience scheduling respiratory therapists or other clinical professionals.
Experience supporting staffing operations within skilled nursing facilities, ventilator units, long-term care facilities, or post-acute healthcare settings.
Experience using UKG Ready or a comparable workforce-management platform.
Familiarity with multi-location healthcare staffing and last-minute shift coverage.
