We are looking for a Administrator to support a research-focused team in San Francisco, California. This role helps keep day-to-day operations organized by coordinating meetings and events, handling core administrative processes, and supporting researchers and operations staff across multiple policy areas. The position is well suited to someone who is highly organized, detail-oriented, and comfortable working with colleagues across a range of departments to keep priorities moving efficiently.


Responsibilities:

• Coordinate recurring and ad hoc meetings for multiple research teams, ensuring schedules, materials, and follow-up items are managed effectively.

• Organize logistics for internal programs and external-facing events, including workshops, seminars, staff gatherings, and public convenings.

• Support research operations by assisting with project coordination, tracking deadlines, and helping maintain progress across active initiatives.

• Contribute to grant-related and development support activities by helping organize information, timelines, and administrative documentation.

• Assist with institutional impact and assessment efforts by preparing records, compiling updates, and supporting evaluation-related processes.

• Manage program administration for internship activities, including scheduling, coordination, and general logistical support.

• Maintain internal data and information systems, including tools used for outreach tracking, project coordination, and shared departmental resources.

• Process routine administrative transactions such as invoices, expense submissions, and timesheet-related documentation with accuracy and timeliness.

• Serve as a point of coordination with internal departments and external partners, including library and research support contacts, while providing general administrative assistance as needed.

• 2+ years of administrative experience, preferably in a research, nonprofit, academic, or policy-oriented environment.
• Bachelor’s degree or equivalent practical experience in an administrative or operations-focused role.
• Strong organizational skills with the ability to manage multiple tasks, balance shifting priorities, and meet deadlines under pressure.
• Excellent written and verbal communication skills, with the ability to interact professionally with internal teams and external stakeholders.
• Demonstrated attention to detail and the ability to work both independently and collaboratively in a team-based setting.
• Proficiency with common office software, including Outlook, Excel, Word, and PowerPoint, along with confidence learning new systems and tools.
• Experience supporting calendars, event coordination, data entry, and general office administration.
• A proactive, resourceful approach with sound judgment, adaptability, and strong relationship-building skills across diverse groups.
