Job Overview
We are seeking a dynamic and experienced Dermatology Medical Assistant Supervisor for our Back Office to lead and coordinate daily clinical operations within our Dermatology practice. This role is vital in ensuring smooth patient flow, efficient administrative processes, and compliance with healthcare regulations. The ideal candidate will possess strong leadership skills, extensive medical assisting and dermatology scribing experience, and a comprehensive understanding of healthcare management systems. As a supervisor, you will motivate and manage a dedicated team of medical administrative staff, oversee clinic workflows, and uphold the highest standards of patient care and confidentiality. Your energetic approach will drive operational excellence while fostering a positive environment for staff and patients alike.
Duties
- Supervise daily back office operations in the dermatology clinic, including patient flow from check-in to check-out, daily employee task completion, daily and weekly hours oversight, and scribing duties
- Regular staff training meetings to ensure commonality in practice, as well as efficiency and coordination in daily tasks and efforts
- Coordinate with providers to facilitate excellent patient outcomes and satisfaction, as well as a high degree of accuracy in documentation.
- Monitor fiscal activities including back office inventory management, procurement, budgeting, medical billing and coding, and other financial obligations over time
- Ensure compliance with health regulation policies related to managed care, utilization management, and clinic standards, with an emphasis on clinic efficiency
- Lead human resources functions such as monthly staffing schedule creation, ensuring adequate daily provider coverage, performance evaluations, time off requests, and excellent interpersonal communication to foster a motivated workforce
- Implement practice management strategies that enhance patient experience while maintaining operational efficiency
- Regulatory body interface, such as CLIA, iPledge, and others
- Hiring and training of new back-office staff
- Patient call backs and triaging of urgent issues
- Weekly or more leadership meetings with practice manager and providers
Experience
- Proven supervising experience within a dermatology office
- Extensive dermatology back office experience with proficiency in navigating and scribing with Modernizing Medicine/EMA EMR
- Knowledge, awareness and oversight of HIPAA regulations and protections
- Helpful: CLIA knowledge, ability to navigate iPledge and other REMS systems, Mohs documentation/logs/record keeping, surgical assisting experience
- Strong ability with Google Suite: docs, sheets, calendar, gmail, etc.
- Demonstrated ability to manage teams effectively within healthcare settings involving back office staff or administrative personnel
- Efficient and effective managerial communication skills
- Excellent patient interface and interaction with an emphasis on customer service and patient satisfaction in all facets of the patient experience
