Job Summary
The Office Administrator provides comprehensive administrative and operational support to the local region and branch operations. This role serves as a liaison between the local organization and centralized Finance and Human Resources teams, while supporting daily office operations, payroll processing, route accounting, customer account inquiries, recruiting and HR activities, and sales administration. The Office Administrator must be highly organized, professional, detail-oriented, and capable of managing multiple priorities while providing responsive support to employees, customers, and leadership.
Job Responsibilities
- Provide administrative support to the General Sales Manager and branch operations, including support for multiple locations as needed.
- Manage daily office operations, including mail, package deliveries and shipments, office supplies, equipment, and general office needs.
- Support Finance Shared Services with daily route paperwork, payroll processing, and customer account inquiries.
- Perform daily balancing of all assigned routes in the route accounting system and ensure required documentation is collected and maintained.
- Partner with Human Resources to address questions regarding HR policies, procedures, and processes.
- Support new hire paperwork, timecard tracking, recruiting documentation, uniform ordering and tracking, and general HR administrative activities.
- Professionally answer incoming phone calls and direct calls to the appropriate personnel.
- Maintain accurate filing systems and follow applicable record retention requirements.
- Plan, coordinate, and organize meetings and events.
- Code operating expenses and obtain appropriate management approval.
- Support sales activities, including Tell-Sell calling duties where applicable.
- Maintain compliance with applicable state and federal record retention and posting requirements.
- Collaborate across the organization and share effective administrative practices.
- Maintain a professional representation of the organization and brand.
- Perform other duties and assignments as required.
Job Requirements
- Strong verbal and written communication skills.
- Strong mathematical and organizational skills.
- Strong technical skills, including proficiency with smartphone technology.
- Ability to manage multiple priorities and deadlines effectively.
- Excellent time management skills and punctuality.
- Proficiency in Microsoft Office.
- Fluent in English.
- Ability to handle confidential information and follow established policies and procedures.
- Ability to work collaboratively with employees, leadership, Finance, Human Resources, and other departments.
Education
- High school diploma or GED required.
Work Experience
- Prior customer service, human resources, office administration, or accounting experience preferred.
- Direct Store Delivery or route accounting experience preferred.
- Additional language skills are a plus.
